Create Engagement Message Templates
You can create templates for your engagement items and reminders that suit your business needs. Example: You create a template with your company logo, fonts, and social media links. You then add a customized message to your engagement item.
- Create and activate a notification template for engagements using your company's branding.Once you've published the notification template, select one of these notification categories from theTemplate Detailspanel:
- Ad Hoc Workers Communication
- Extended Enterprise Campaigns
- Learning Campaigns
- On theCreate Message Builder Templatetask, create a message template and add your message content.
- As you complete the template, consider:OptionDescriptionNotification CategorySelect the notification category that corresponds to your notification template.Channel(s)You can create templates for these channels:
- Email
- Mobile Push
Preview Notification TemplateSelect the notification template that you've created. - As you draft your message template, consider:OptionDescriptionFrom Display NameSelect a name that your message displays to your audience.Reply ToConfigure the reply-to email address. You can enter an email address different fromSent From.Insert Data FieldSelect a data field to add to the subject or body of the message template. Example: SelectWorkerto display the recipient's name in the body of the message template.TranslationsWorkday automatically populates the base language based on the preferred locale.On theLanguagesprompt, you can select:
- A different base language.
- Additional languages.
Message templates with multiple languages are read-only. TheCC Recipientfield is unavailable for these templates.
Workday enables you to select notification and message templates for your engagements.
You can manage your message templates after you publish them:
- To view and edit your existing message templates, as well as create new templates, access theMessage Builder Template Dashboardreport.
- To edit a specific message template, access theEdit Message Builder Templatetask.
When you add a message template to an engagement item, Workday creates a static copy of the template at the moment you apply it to an engagement. This prevents changes to the message template from affecting your active engagements.
However, if the message template includes translations, the engagement uses the current template content rather than a static copy. Workday automatically updates your active engagements with any changes you make to the template.
You can also manage your notification templates after you publish them:
- To view and edit notification types for your existing notification templates, access theMaintain Notification Templatestask.
- To edit a specific notification template, clickEditorSet Categoryon your published notification template.
