Steps: Set Up Purge for Time Tracking Data

The
Worker Time Blocks and Time Clock Events
purgeable data type (PDT) enables you to purge the worker, position, attachments, comments and time attestations from worker time block and time clock events from both active and terminated workers.
Purging data permanently removes it from your tenant. Workday can’t reverse a data purge and can’t retrieve purged data. We recommend that you:
  • Test the purge in your Sandbox tenant before you purge any data in your Production tenant.
  • Keep an offline copy of the data purge for 3-6 months after the purge, in adherence with data privacy regulations.
  1. Access the
    Edit Tenant Setup - HCM
    task, and in the
    Time Tracking
    section, select the new
    Enable Time Tracking Data Purge
    check box.
    When you select the check box, you acknowledge the irreversible nature of purging and potential downstream impacts on payroll, taxes, and project billing.

    Privacy purge custom report
    To create a privacy purge custom report, make a copy of the standard
    All Time Blocks and Time Clock Events - Template Purge Report
    report. The custom report is required to identify the time blocks and time clock events that you want to purge in your tenant. Verify and edit any filters to ensure the intended items are set to be purged.
    Purge plan
    When you create a purge plan by accessing the
    Create Purge Plan
    task, select
    Worker Time
    from the
    Object to Purge
    prompt. In the
    Purgeable Data Type
    grid, select and configure the
    Worker Time Blocks and Time Clock Events
    PDT.
    You can also edit a purge plan by accessing the
    Edit Purge Plan
    task.
    You can't purge in-progress time blocks for a time review event.
    Optional Validations
    In the
    Optional Validations
    prompt, verify that only the intended validations are selected.
    Purge custom objects
    Select the
    Purge Custom Objects
    check box to purge all custom object data in the purge plan.
The time blocks and time clock events that you identified in the custom purge report are permanently removed from your tenant. They’re no longer visible on the time entry calendar and the
Time Clock History
report.
After you run the purge, business process comments continue to display on the time block, as well as in any reports. To purge comments from time review events, use the
Event Comments
PDT.
