Troubleshooting: Time Kiosk

Troubleshooting: Time Kiosk

The Time Kiosk doesn't display the settings configured in the template.

Cause
Solution
The worktag entry options on the Time Kiosk template have a future effective date.
Security:
Set Up: Time Tracking
domain in the Time Tracking functional area.
Access the
Edit Time Kiosk Template
task, and ensure effective dates are set to today or a past date for worktags that should be currently available.
The template was recently updated, and the 10-minute propagation window has not yet elapsed.
Template changes take up to 10 minutes to propagate to all kiosks using that template. If the issue persists after 10 minutes, reset the tablet and apply the template again.

The manager doesn't have the client ID.

Retrieve the client ID and send it to the manager. There is 1 client ID per tenant that works for every device in the organization.
    Security:
    Security Administration
domain in the System functional area.
  1. Access the
    View API Clients
    report.
  2. Copy the client ID so that the manager can access it from the Time Kiosk app.
Example: Send it in an email.

The manager can't find the Time Kiosk app to download.

Cause
Solution
The Workday Time Kiosk app for iOS is not searchable by name in the App Store.
Download the Workday Time Kiosk app from the App Store onto the iPad.
You're using Mobile Device Management (MDM), and the MDM policy references the app name instead of the link.
Configure your MDM policy with the full URL.

The manager reset the tablet before templates were ready.

Complete the configuration before the manager tries to set up the tablet again. See Steps: Set Up Workday Time Kiosk.

A worker can't check in.

Cause
Solution
The worker isn't active in Workday.
Ensure the worker is active in Workday.
The worker isn't eligible for Time Tracking.
  • Ensure Time Tracking is enabled for the worker.
  • Check for any recent job changes, transfers, or termination events that may have affected eligibility for Time Tracking.
  • Verify the worker's security group assignment is correct.
The Time Kiosk is offline, and the worker didn't sign in on the Time Kiosk while it was online within the last 30 days.
Connect the Time Kiosk to the internet and have the worker check in.
The device has been offline for more than 30 days and local encrypted data has expired.
Connect the Time Kiosk to the internet and have the worker check in.

The Time Kiosk displays the wrong option when the worker wants to check in or out.

There is an unmatched check-in on the worker's timesheet for 1 or more of these reasons:
  • A manager edited a time clock event using an incorrect task.
  • The worker is switching between the Time Kiosk and the Workday mobile app, causing mismatched states.
    Security:
Maintain: Time Clock Event Errors for Workers
domain in the Time Tracking functional area.
  1. Access the
Maintain Invalid Time Clock Events for Workers
    task.
  2. Correct or ignore the invalid time clock event.
  3. Restart the Workday Time Kiosk app, and have the worker try again.

The Time Kiosk records the wrong time clock event date or time.

Cause
Solution
The time zone setting on the Time Kiosk template is incorrect.
Ensure the time zone on the Time Kiosk template matches the kiosk's location.
1 or more of the 4 time zone settings in Workday is misconfigured.
If the issue occurs near midnight or during daylight saving time transitions, ensure the business process date calculation time zone is correctly configured.
Otherwise, ensure these time zones are correctly configured:
  • Default time zone of the tenant.
  • Location time zone.
  • Worker's preferred time zone.
The tablet is not set up to automatically synchronize time.
In the tablet settings, enable the date and time to set automatically.

Workers can't sign in when the kiosk is in offline mode.

Cause
Solution
The worker never successfully signed in to the kiosk while it was online.
Reconnect the kiosk to the internet before workers sign in.
The kiosk has been offline for more than 30 days, and local encrypted data has expired.
Reconnect the kiosk to the internet before workers sign in.

Time recorded in offline mode doesn't synch to Time Tracking after the kiosk is reconnected to the internet.

Time recorded in offline mode can fail to synch to Workday or take longer than you expect because:
  • You only recently reconnected. The sync process takes up to 10–20 minutes.
  • The kiosk reconnected briefly and then went offline again before the sync completed.
Keep the kiosk connected to the internet continuously during the 20-minute sync window.
