Steps: Set Up Mass Express Interest for Learning Courses

  • Configure the
    Manage Course Offering
     business process and security policy in the Learning Core functional area.
  • Security:
    Manage: Mass Express
     Interest domain in the Learning Core functional area.
You can enable managers and other role-based groups to express interest in course offerings for multiple individuals across their assigned organizations. Workday provides validations to prevent duplicate expressions of interest or interest for learners already enrolled in the course. This feature is supported only on desktop.
  1. Access the
    Mass Express Interest
     task.
  2. Select a blended course.
  3. (Optional) Select
    Location
    ,
    Start Date
    , or
    End Date
    .
  4. Select
    Learners
    .
  5. Click
    OK
    .
  6. To alert managers or role-based groups when a suitable offering is scheduled, create 3 calculated fields for the
    Manage Course Offering
     business process.
    1. Use these values for the first calculated field:
      Business Object
      Learning Course Offering Event
      Function
      Lookup Related Value
    2. Select these prompt options on the
      Calculation
       tab:
      Lookup Field
      Course Offering
      Return Value
      Matching Interests
    3. Use these values for the second calculated field:
      Business Object
      Learning Interest
      Function
      True/False Condition
    4. On the
      Calculation
       tab, add a condition with these values:
      Field
      Matching Course Offerings
      Operator
      count is less than or equal to
      Comparison Type
      Value specified in this filter
      Comparison Value
      2
      This comparison value ensures that a recipient only gets 1 notification per interest expressed.
    5. Use these values for the third calculated field:
      Business Object
      Learning Course Offering Event
      Function
      Extract Multi-Instance
    6. Select these prompt options on the
      Calculation
       tab:
      Source Field
      Select the first calculated field you created.
      Condition
      Select the second calculated field you created.
  7. Access the
    Manage Course Offering
     business process definition.
    1. From the related actions menu, select
      Business Process
       >
      Add Notification
      .
    2. Add the third calculated field to the
      Related Instances
       field in the
      Repeat On
       section.
    3. From the
      Trigger on Status
       prompt, select
      Completed
      .
  8. Add calculated fields to select managers or other role-based groups from the
    Recipients
     prompt in the
    Manage Course Offering
     business process definition.
    These calculated fields are an example to alert a manager when a suitable offering is scheduled:
    1. Use these values for the first calculated field to retrieve the Person for Learner field:
      Business Object
      Learning Interest
      Function
      Lookup Related Value
    2. Select these prompt options on the
      Calculation
       tab:
      Lookup Field
      Learner
      Return Value
      Person
      Security:
      Person Data: Person Reports
       domain in the Contact Information functional area.
    3. Use these values for the second calculated field to retrieve the Worker for Person field:
      Business Object
      Learning Interest
      Function
      Lookup Related Value
    4. Select these prompt options on the
      Calculation
       tab:
      Lookup Field
      Select the first calculated field you created.
      Return Value
      Worker from Person
    5. Use these values for the third calculated field to retrieve Worker’s Manager:
      Business Object
      Learning Interest
      Function
      Lookup Related Value
    6. Select these prompt options on the
      Calculation
       tab:
      Lookup Field
      Select the second calculated field you created.
      Return Value
      Worker’s Manager
  9. (Optional) Add the
    Expression of Interest in Learning Courses
     report to the Learning Admin dashboard.
Managers and other role-based groups can receive a notification when an offering becomes available.
Run the
Expression of Interest in Learning Courses
 report to view learner demand.
