Concept: Observational Checklists
Observational checklists provide a structured framework for assessing learners on the job directly within Workday. You can design checklists with a hierarchy of sections, tasks, and evaluation criteria to ensure consistent performance reviews. This native functionality enables you to capture assessment data directly within Workday Learning, reducing the need for external third-party tools.
You can use report fields to track the administration and results of learner assessments. The report fields provide visibility into task-level grades, completion dates, detailed checklist responses, and assessors involved in the final evaluation.
Role-Based Benefits
The observational checklist workflow enables different roles to interact with training activity lessons effectively:
- Administrators: Admins can create observational checklists and manage checklist versions through checklist revisions, and track specific learner interactions (including viewing) and assessor inputs through checklist responses.
- Assessors: Can evaluate learner performance on the job using either a desktop or mobile device, providing flexibility for frontline environments. Assessors can save progress for an observational checklist if multiple assessors need to contribute to a single evaluation.
- Learners: Can preview checklists before an assessment begins to understand the requirements. Learners can also view their in-progress or completed responses to track their own performance.
Checklist Revisions and Responses
Workday distinguishes between the checklist template and individual evaluations:
- Observational Checklist Revision: A specific version of a checklist. When you update a checklist, Workday creates a new revision. If you select a different revision for a course, Workday deactivates any in-progress responses for incomplete enrollments.
- Observational Checklist Response: A specific instance of a checklist being completed for a learner. Workday tracks these as unique business objects, which enables you to build custom reports on lesson tracking.
