Steps: Set Up Virtual Classroom Integration with Microsoft Teams
- Register a new application in the Microsoft Azure portal:
- Take note of itsApplication (Client) IDvalue.
- Give the application these API permissions:
- OnlineMeetings.ReadWrite.All
- User.Read.All
- Add aClient Secretto this application.
- Workday adds the Client ID that you generate from Microsoft Azure to your tenant.
- Configure policy rules using Microsoft PowerShell.
- Create and configure a new integration system.
You want to integrate Workday Learning with Microsoft Teams so that you can create course offerings that include virtual classroom lessons for instructor-led training. This lesson type enables large, geographically diverse populations to join virtual classes for instructor-led training.
- Create an Integration System User (ISU) for virtual classroom integration with Microsoft Teams.
- Access theCreate Integration Systemtask.Add values for system name and template. We recommend you use theWorkday-delivered Learning Virtual Classroom for MS Teams Templatetemplate.Security: TheIntegration Builddomain in the Integration functional area.
- From the related actions menu of theView Integration Systemreport, selectWorkday Account.SelectEdit Account for Integration Systemand add your ISU on the Workday account.
- From the related actions menu of theView Integration Systemreport, selectConfigure Integration Attributes for Integration System.Populate values for these fields:
- Client ID: From your Microsoft Azure setup.
- Client Secret: From your Microsoft Azure setup.
- Tenant: Your Microsoft tenant ID.
- Mailbox: To generate the Microsoft Teams link.
Security: TheIntegration Builddomain in the Integration functional area. - Access theManage Course Offeringbusiness process and navigate to theEdit Business Process Definitiontask from the related actions.Add a new step and selectIntegrationfor theType. This action prompts you to configure the integration system. If you've followed these steps, you don't need to selectRun as User, as the integration automatically selects your ISU. Select your integration, and clickOK.Use theIntegration System - Proposedreport field to create a condition rule so that this step only runs when the associated lesson has selected the integration. We recommend using different condition rules when you enable more than 1 integration, or instance of the integration, so that the correct condition rule runs for the correct integration.These domains in the System functional area:

- (Optional) Configure attendance synchronization.GiveOnlineMeetingArtifact.Read.AllAPI permission to the application in the Microsoft Azure portal.Access theLearningsection of theEdit Tenant Setup – HCMtask. From theSelect Virtual Classroom Integrationsprompt, select the Microsoft Teams integration you want to use.Enter values on theMinimum Percentage for Full AttendanceandMinimum Percentage for Partial Attendancefields. Select theTrack Non-Attendance for Virtual Classroomcheck box.SelectTrack Non-Attendance for Virtual Classroomonly if you want to mark learners below the partial attendance threshold asNot Attended. If you only want to synchronize full and partial attendance, clear this check box.
- (Optional) Set an instructor as a co-organizer of virtual classroom meetings so that they can create and manage breakout rooms.
You can now create course offerings that include virtual classroom lessons for instructor-led training.
Workday doesn't support unlimited capacity for course offerings that include virtual classroom lessons with Microsoft Teams integration.
If you update an offering to a new version, validate virtual classroom setup and the meeting link on offerings that use the Microsoft Teams integration, and use
Edit Course Offering
to restore the integration if needed.
