Set Up Passive Event Business Processes
Configure the
Passive Event
business process to instruct Workday where to route
passive events. The passive event results in an enrollment task for an employee, a Benefits
Partner, or other designated role.Route enrollment task using a
passive event to a role or security group directly in the
Passive Event
business
process definition.- Access thePassive Eventbusiness process definition.
- As a related action on thePassive Eventbusiness process, select
- Enter theEffective Date.
- Access theChange Benefit Electionsstep and identify the role to which to route the enrollment task for passive events in theGroupfield.Don't delete theChange Benefit Electionsstep in thePassive Eventbusiness process.
- Make the initiation step the completion step.
- If you need to route different passive events to different roles:
- Create a condition rule for each event type.
- Define two or more steps with the same order and action =Change Benefit Elections.
- Associate a different condition rule and role with each step. The condition rules must be mutually exclusive.
Depending on how you define a passive event, Workday might ignore routing instructions for the event. It might automatically finalize it without sending an enrollment task to a Benefits Partner or employee. However, you must still provide routing instructions for the event.
To route passive events based on condition rules, assume that these events have
different routing requirements:
- Route to employee: An employee becomes eligible for a benefit after 1 year of service.
- Route to Benefits Partner: A dependent reaches an age and becomes ineligible for benefits.
- Insert 2Change Benefit Electionssteps in thePassive Eventsbusiness process, 1 for each passive event with a differentRoute Torole.
- Assign the same order to both steps.
- Create a condition rule for event type =Employee 1 Year of Serviceand associate it with the first instance of theChange Benefit Electionsstep. SelectEmployeein theGroupfield for this step.
- Create a condition rule for event type =Dependent Age Outand associate it with the second instance of theChange Benefit Electionstep. SelectBenefits Partnerin theGroupfield for this step.
