Correct Approved Time Off Requests

Correct Approved Time Off Requests

  • Ensure the time off request has an
    Approved
    status.
  • Configure the
    Correct Time Off
    business process and security policy in the Time Off and Leave functional area.
You can edit an approved time off request on behalf of a worker on desktop and mobile. On the
Manage Absence
calendar, you can review projected time off balances for the worker and see pending requests awaiting approval. You can also view adjustments.
  1. Access the
    Manage Absence
    report.
  2. Click
    Switch Worker
    and select the worker. On the
    Balances
    tab, Workday displays the current aggregate balance of all the worker's time off plans as of the date entered in the
    Balance as of
    field. When a worker has both hour-based and day-based plans, it displays total hours and days separately. To review project balances for a future date, update the
    Balance as of
    date.
    You can define what the
    Balance as of
    date represents in the
    Balances as of date in the New Absence Calendar Experience
    option on the
    Edit Tenant Setup - HCM
    task.
  3. On the
    Manage Absence
    calendar, click the entry for the day you want to edit.
  4. Click
    Edit
    .
  5. Enter details to edit the time off request. As you complete this task, consider:
    Option Description
    Type of Absence
    Select
    Edit Time Off Type
    on the
    Edit Tenant Setup - HCM
    task to enable workers to change time off type.
    Position
    Displays only if the time off is associated with a position-based plan.
    Start Time
    End Time
    Displays only if you select a time off type that has optional or required start and end time configured.
    Days (Daily)
    Hours (Daily)
    You can't change the daily quantity for time offs that are configured to
    Calculate Quantity Based on Start and End Time
    .
    Reason
    Displays only if you define reasons on the time off.
    Comment
    The comment that’s associated with the time off entry.
    The comment is visible on the
    Details
    tab of the
    Request Time Off
    business process event.
    When users enter a time off request for multiple days, they can enter a different comment for each day.
    You can hide this field for all users or specific security groups by accessing the
    Configure Optional Fields
    task, and selecting the:
    • Request Time Off functional area.
    • Time Off Entry Comment
      field.
    Comment to Approver
    The comment that’s associated with the
    Request Time Off
    business process.
    The comment is visible to the approver and on the
    Process
    tab of the
    Request Time Off
    business process event.
  6. To delete a time off entry, set the quantity of time off to zero.
  7. Click
    Submit Request
    .
If the time off request requires approval, Workday routes it to the approvers.
