Steps: Create Custom Objects for Quotes

Workday enables you to add custom objects and fields on the Opportunity and the Quote Header so that you can bring external fields into Workday. You can create custom objects with up to 100 active custom fields and configure the security domains for each custom object. After creating and activating the custom objects, you can:

Specify the custom field values for the opportunity or quote header.

Add the custom fields in the document editor to include in an existing or new document template.

When you edit the document template, search for the custom object field under

Dynamic Data

tab in the right panel of the editor.

Add the custom fields to new or existing custom reports.

Edit or view all custom fields for a quote by accessing the

Additional Data

from the related actions menu in the

View Opportunity

report.

Report on custom objects using the

Custom Object Definitions

report.

Once you add a custom object in a quote, consider this behavior:

You can't change the field type and label after you activate the custom object.

We don’t support effective dated custom objects.

When you select a decimal field type, we support only up to 3 decimal places. Also, the default value is 0 until you edit it.

Ensure to specify Quote for

Workday Object

and specify a value for the

Custom Object Name

Access the Create Custom Field Type task.

Select the custom field type you want to create and specify values for the required fields. Options are Currency, Decimal, Integer, List, Text, and Paragraph Text. Use this custom field type to define a custom field in an extendable Workday business object.

Workday automatically populates the

Web Service Alias

name for the fields. Workday uses this alias to refer to the custom object in web services.

Security: Configure the Custom Object Management
domain in the System functional area.

Access the

Create Custom Object

task.

Specify Quote
for

Workday Object

. Specify a value for the

Custom Object Name

. Click

Specify object name, web service alias, and

Allow Multiple Instances per Object?

check box on the next page.

You can only edit the fields while in a draft custom object state. You can't change them after activation. Click

Click

Add

under the

Proposed New Fields

section on the next page.

Specify the report field label. Workday uses this label as the report field name when you use it in custom reports or calculated fields.

Select the custom field type you created earlier from the

Field Type

prompt to associate the custom report field to the custom object. Click

Edit the

Domain

on the next

Security

page. Add Process: Quotes
security domain to the custom object. Click

(Optional) Review and make changes as necessary on the

General Settings

page. You can also continue to add more fields to the custom object by clicking

Add

under the

Field Definitions

section. When done, click

On the

Activate Custom Object

page, click

to activate the custom object.

For multi instance objects, select the created field label for

Display Value

Review the summary of the activated custom object. Click

Done

Security: Configure the Custom Object Management
domain in the Systems functional area.

Access the

View Opportunity

report and select an opportunity.

From the related actions menu of the desired quote, select

Additional Data

. You can edit or view all custom fields for that quote.

Access the

Maintain Quote Configuration

task.

Click

Edit

for the desired document template and search for the custom object field under

Dynamic Data

tab in the right panel of the editor. You can add the custom fields created from custom objects to an existing or new document template.

You can use the custom field in a quote.

You can:

Add additional data to an active custom object, or edit any field for a draft custom object using the

Edit Custom Object

task.

View custom object details by running the

Custom Object Definitions

report.

Access the

View Custom Field Types

report to view the added custom field types.
