Steps: Create Services Catalog

Security: Configure these domains in the Services CPQ functional area:
  • Set Up: Quotes
  • Process: Quotes
The services catalog enables you to add a service to the quote from a pre-configured list. This capability allows you to pre-define the duration, roles, items, expenses, and third-party costs for a service type and then default all the data into the quote.
When you have a large number of services in a catalog, you can use the search facets to filter for the desired service. For mass processing, you can use the
Get Services Catalog Items
and
Put Services Catalog Item
web services.
  1. Access the
    Maintain Services Catalog
    task.
  2. Click
    Create Service
    .
  3. On the
    Service Details
    step, complete the options:

    Description
    Company
    You can select a company that you want to create the service for.
    Search Tags
    Select a worktag that allows you to search within the catalog. This is not the same as Workday worktags.
    Project Hierarchy
    Select an existing project hierarchy.
    1. Click
      Next

    2. On the
      Estimation
      step, select the
      Estimation Effort
      to define the service type and specify the duration in weeks.
      For
      With Phases
      estimation, add active project plan phases and specify a value for
      Offset in Weeks
      . The offset enables you to start a phase after the specified number of weeks from the service start date. When the offset value is 0, the phase starts on the same date as the service start date.
    3. Click
      Next
      .
    4. On the
      Roles
      step, add roles lines. Workday automatically sets the role lines to
      Billable
      .
      (Optional) For services with the
      Effort Estimation Type
      of
      With Phases
      , specify the phases and hours for the role. When you don't specify the role hours, the value displays as zero in the service after you add it to the quote.
    5. Click
      Next
      .
    6. (Optional) On the
      Items
      step, add item lines and specify the quantity. Workday automatically sets the item lines to
      Billable
      .
    7. Click
      Next
      .
    8. (Optional) On the
      Expenses
      step, add expense lines. Workday automatically sets the expense lines to
      Billable
      and prohibits them from discount.
    9. Click
      Next
      .
    10. (Optional) On the
      Third Party Costs
      step, add third party costs and specify the quantity and unit of measure. Workday automatically sets the lines to
      Billable
      and prohibits them from discount.
    11. Click
      Next
      .
    12. Review the service and click
      OK
      .
  4. To enable the sales specialists to add the service catalog to quotes, click 
    Action
    for the desired service row and select
    Activate
    .
    You must specify the pricing for the services in the quote grid and not in the catalog.
When creating a quote, you can select an active service from the services catalog to automatically populate the service data in the quote grid. 
After adding a service from the catalog to a quote, you can:
  • Edit, copy, or inactivate services defined in the catalog.
  • Further edit the service and the roles, split the duration into phases, copy the service, delete the service, or continue to add sales item, expenses, and third party costs in the quote grid. See

  • When you add another role, it must exist in the project billing rate sheet. You can click
    Advanced Role Details
    to further refine it by additional parameters or edit the
    Unit Price
    to suit your business needs.
  • You can build a custom report using the
    Quote Services
    data source to report on service catalog items and their usage in quotes by status.
