Print Quote Document
Security: Configure these domains in the Services CPQ functional area:

You can generate and download the quote documents as Word or PDF files. When you print in PDF format, first ensure that the tables are not too wide to avoid spilling to the next page with blank data in the printed PDF file.
- From the related actions menu of an approved quote, selectPrint.
- On thePrint Documentspage, select either the PDF or DOCX file type for printing. You can print each document type only once.
- Workday automatically adds the [Document Template Name]_[Quote Number]_[Quote Name]_[Customer Name]_[Date Generated] name to a printed file. You can edit the file name or append text to the default name.
- (Optional) From the related actions menu of theQuote Eventbusiness process, clickEdit Definition.
- Click+under theBusiness Process Stepstab, add aServiceTypestep and selectPrint Quote Documents PDFforSpecify.
- Click+under theBusiness Process Stepstab, add aServiceTypestep and selectPrint Quote Documents DocXforSpecify.
- To print quote documents automatically, you can configure the steps in any order.
- If you want the documents to be available to the approvers during theReviewstep, ensure to configure either 1 or both of the print service steps to run before theApprovalstep in the business process definition.
- During the review step, the approver can see the document only if it’s printed.
- When the approver makes manual edits to the quote document during the review process, clickSaveto save the changes and then clickSubmit for Approval. To undo the changes, clickReset to Template.
- If a document has already been printed, this setup will prevent you from printing the document again. Workday allows the document to be reprinted only if it has been changed.
- If your configuration is set up to print after the approval is given, then the approver won’t be able to view the document table prior to giving approval.
- You can access the printed document from the quote grid on theView Opportunitiespage.
- You can view the number of printed documents in theSubmitted Documentcolumn on theView Opportunitypage. Click the number to access the printed document.
- When you print aDOCXfile type, some of the formatting might be lost. Ensure to review the downloaded file and update as necessary. Known incompatibilities include:
- Components (such as images, text boxes, tables) placed adjacent to each other will not display correctly.
- Tables with spacing are not supported.
