Create Project Templates

domain in the Projects functional area.Project templates simplify project creation, maintain consistency, and reduce errors. You can prefill common options for users when they create a new project using the template.

Option Description Template IDWhen you leave the template ID blank, Workday generates a sequential ID.The template ID becomes the reference ID for integrations.Project Plan TemplateResource Plan TemplateTask Resource TemplateCustomer Contract TemplateAny project you create from this template also includes these associated templates.To select a template for task resources, you must first select a resource plan template and project plan template.Select a customer contract template when you create a template for billable projects. - As you complete theReference Informationsection, consider:
Option Description StatusPresets the overall status of the new project.Include Project ID in NameAppends the Project ID value to the project name.BillableCreates new billable projects from the template.Select to enable time and expense billing and revenue recognition for the project.CapitalCreates new capital projects from the template.CompanySets the company for new projects.Workday populates the company name in time blocks when workers log time against a project using Time Tracking. Workday also assigns a company worktag for the accounting, unless you override the worktags in the operational transaction.Project CurrencySets the currency for new projects.Workday converts all internal and billable rates to this currency when you report on the project.CustomerSets the customer for new projects. Workday populates the customer name into time blocks and worksheets when workers log time against the project. Workday also assigns a customer worktag for the accounting, unless overridden in the operational transaction.Balancing WorktagSelect for capital projects. When you enable worktag balancing for your tenant, select a worktag to balance journals for transactions. The balancing rules evaluate the balancing worktag of the project, not the balancing worktag of the transaction. Workday generatesDue ToandDue Fromaccounting entries to balance your journal when the values on the transaction and project differ.When you use a cost center as a balancing worktag, you can restrict values to companies or company hierarchies on theEdit Cost Centertask.Project GroupsAssociates a new project with a group of related projects. Project groups make it easier to retrieve and compare projects using reports. - Enter theWorktagsyou want to set for new projects.When you enable worktag balancing, Workday only uses the balancing worktag when you select a worktag of the same type in both the:
- Worktagsgrid.
- Balancing Worktagfield.
Set up related worktags for this object using the related worktag types that you configure on theMaintain Related Worktag Usagetask. Workday automatically populates transactions with the values in theDefault Worktagcolumn when you select the object on the transaction. - As you complete theProject Detailssection, consider:
Option Description Percent CompleteWhen this value is 100%, workers can't log time against the project or its tasks.Risk LevelSet the project risk level.PrioritySet the project priority.ImportanceSet the importance rating of the project.
Project managers can create new projects based on your template using the:
- Create Projecttask.
- Related actions menu on the template.
- Create projects.
- Run theFind Project Templatesreport to retrieve other templates.
