Set Up Resource Planning

Set Up Resource Planning

Review setup considerations for resource plans.
Set up project roles.
Set up these business processes and security policies:
  • Project Resource Plan Line
in the Project Tracking functional area.
  • Request Worker
    in the Projects functional area.
With resource plans, you can enable:
  • Managers to assign workers to projects and estimate their cost.
  • Workers to charge time against a project.
Resource plans are also a prerequisite for creating resource forecasts.
  1. (Optional) Access the
    Maintain Project Booking Status
    task.
The booking status defines the confidence level of the resource booking. Users can select this value when they assign a worker to a project role on a resource plan.
    Security:
Set Up: Advanced Project Resource Management
domain in the Projects functional area.
  2. (Optional) Access the
    Edit Time Entry Template
    task.
You can enable project workers to log time to any project without having an assignment on a resource plan. Select the
    Enable Time Entry by Project
    and the
    Use High Volume Projects Prompt
    options in the
    Projects
    profile group.
    Security:
    Set Up: Time Tracking
domain in the Time Tracking and Time Tracking Hub functional areas.
  3. (Optional) Two models are available for resource planning: the resource request and assignment model, and the resource plan line model (for details, see Resource Plans on Projects and Project Hierarchies). If you want to use the request and assignment model, perform these configuration steps:
    1. Edit the
      Project Resource Request
      and
      Project Resource Plan Line
business process definitions. We recommend that you move approval steps and custom logic to the
      Project Resource Request
      business process and set the
      Project Resource Plan Line
business process to autocomplete where appropriate.
    2. Access the
      Configure Profile Group
      task to add the
      Resource Request and Assignment
      tab to the
Resources for Project Composite View Profile
profile group, and decide whether to retain the existing
      Resource Plan
      tab for comparison.
    3. On the
      Edit Tenant Setup: Financials
      task, enable the
Allow Multiple Resources for a Single Assignment
option if you require multiple resources on one assignment, or disable the option to allow only one resource per assignment.
We recommend that you disable this option when using the new request and assignment functionality.
If you use Services CPQ or Resource Scheduling, or if you want your resource forecasts to be created automatically, verify the required values for the
      Global Forecast Frequency View
      ,
      Global Forecast Source
      , and
      Global Forecast Hours
      settings.
    4. If you use resource plan templates in conjunction with task resource templates, with multiple unnamed resources on a single resource plan line, update your templates to have a single unnamed resource per resource plan line.
    5. If you use Services CPQ, perform these additional configuration steps:
      1. (Optional) Update your business processes:
        • In the
          Quote Event (Default Definition)
business process, configure the Resource Request subprocess.
        • In the
          Project Resource Request
business process, add the action step
Resource Plan Line (Assignment) for Request
. This step automatically creates an unnamed resource for every resource request in the Services CPQ flow.
      2. Add any previously added approval steps you had on your
        Resource Plan Line
        subprocess to the new
        Quote Event (Default Definition)
        business process.
      3. We recommend that you set the
        Project Resource Request
business process to autocomplete for events initiated from Services CPQ.
  4. Access the
    Edit Tenant Setup – Financials
    task and navigate to the
    Projects
section. As you complete the task, consider:
    Option Description
    Use Resource Plan Dates
    Use Project Plan Task Dates
    Use Task Resource Dates
By default, the project workers on a resource plan can log their time in Workday during the project start and end dates.
Select 1 or more options to narrow the date range for time entry.
To apply the most restrictive range, select multiple date options. Workers can only log time where the selected date ranges overlap.
Example: If your project start and end dates are January 1 - March 30, workers can log time between January 1 - March 30. If you include dates for project plan tasks, which range from March 1 - April 30, then workers can only log time from March 1 - March 30 — where the 2 date ranges overlap.
    Configure Find Worker Report
    Specify a report for all
    Find Workers
buttons in Workday. By default, Workday uses the
    Find Worker for Project
    report.
If you specify a custom report, ensure that users have the correct access so they can use the
    Find Workers
button. If you configure a custom report, it must use the
    Workers for HCM Reporting
    data source.
Always use Find Available Workers for Project
    Select to use the
    Find Available Workers for Project
    report for the
    Find Workers
button. This setting overrides the report specified for
    Configure Find Worker Report
    .
Allow Multiple Resources for a Single Assignment
Select to allow multiple resources on one resource assignment.
When the option is enabled and you add an unnamed resource count, Workday adds that number of unnamed resources to a single resource assignment.
    When the option is disabled:
    • When you add an unnamed resource count, Workday creates that number of individual resource assignments.
    • When you use a task resource template to add resources to a project, use a task resource template that is associated with a resource plan template with no more than one unnamed resource per line, to prevent missing data on the generated task resources.
This option is enabled by default, but if you choose to use the resource request and assignment resource plan model, Workday recommends that you disable this option to have a one-to-one relationship between workers and assignments.
    Security:
Set Up: Tenant Setup - Financials
domain in the System functional area.
  • (Optional) Enable projects in Opportunity Marketplace to connect project workers to roles that match their skills. See Steps: Set Up Talent Marketplace.
    With the
    Edit Resource Plan
task, project managers can view all interested workers when staffing their projects. With the
    View Project Resource Plan
report, project managers can notify interested candidates when the roles are filled.
