Create Resource Pools

Create Resource Pools

  • Review setup considerations for project resources.
  • Create project roles.
  • Security:
    • Set Up: Resource Pool
      and
      Manage: Resource Pool
domains in the Projects functional area.
    • Administer Audience
      in System functional area.
Resource pools are groups of project workers that simplify staffing. They also enable resource managers to run custom reports and view worker information on the
Resource Pool Manager
dashboard.
  1. Access the
    Create Resource Pool Hierarchy
task to create a new hierarchy for the resource pool.
You must have at least 1 resource pool hierarchy before you can create a new resource pool.
As you complete the task, consider:
    Option Description
    ID
    If you leave the
    ID
blank, Workday automatically generates a sequential ID for the resource pool.
    Resource Pools to Include
Select the resource pools for the hierarchy.
    Role
    Assign the
    Resource Pool Hierarchy Manager
    and the
    Resource Pool Manager
roles to the users who manage the resource pool hierarchy and its associated resource pools.
  2. Access the
    Create Resource Pool
    task.
As you complete the task, consider:
    Option Description
    ID
    If you leave the
    ID
blank, Workday automatically generates a sequential ID for the resource pool.
    Resource Pool Hierarchy
Select the hierarchies for the pool.
You can assign a resource pool to multiple hierarchies, but the pool can't be in 2 hierarchies within the same tree.
    Workers to Include
Select the workers for the pool.
A worker can be part of multiple resource pools.
    Resource Pool Audience
Select an audience that you created.
    Configure Resource Pool Audience
Navigates you to the Audience Builder where you can create a resource pool audience. See
    Create Resource Pool Audience
    .
    • This option only displays when the user has relevant access to it.
    • The resource pool audience changes take effect after you the Update Resource Pool Audience Membership task runs.
    Role
    Assign the
    Resource Pool Manager
role to the user who will manage the resource pool.
The resource pool managers can access the project workers in their assigned pools.
If resource pool managers need to access workers outside of their assigned resource pools, you need to create an unconstrained security group for them.
  • Set up:
    • Resource plans.
    • Resource Pool Manager
      dashboard.
  • View resource pool audience.
  • Update Resource Pool Audience Membership.
    • Click the
      Update Resource Pool Audience Membership
button for a single resource pool.
    • Workday runs the
Refresh All Resource Pool Audience Memberships
task nightly at 1 AM your local time to update changes made to all resource pool audiences.
      • Make sure the user has access to Audience Builder, the Data Source, the Data Source Filter, and any report fields used in the resource pool audience so that the job doesn’t fail.
      • Changes to resource pool membership and associated worker security access are not immediate. These updates take effect once the job run is complete.
      • The changes can be anywhere to which workers in a Resource Pool are referenced in the system.
  • Create a custom report and include the
    Resource Pools
    report field on the
    Indexed All ~Workers
report data source to view all static and dynamic lists of workers in a given resource pool.
