Create Allocation Pool Worktag Override Rules

in the Financial Accounting functional area.
As costs allocate through the allocation pools in your plan, you can persist worktags coming from source transactions or specify new worktags. Use worktag override rules on target allocation pools when you want to replace worktag values for a specific worktag type on transaction lines allocating to that pool.
Override rules don't remove worktag types you already include on your transaction lines. You must enable worktag types for allocation pools to select them as conditional or overriding worktags. See Configure Worktags for Transactions.
Rules are not currently effective-dated and updates to a rule will affect all versions of a pool using the rule. When you want to update a rule, Workday recommends creating a new rule and then creating effective-dated versions of any pools to be configured with the new rule.
  1. Access the
    Create Allocation Pool Worktag Override Rule
    task.
  2. Complete the task:
    Option Description
    Condition Worktag Type
    Select a worktag type. You can't change this type once you save your rule.
    Conditions
    Select 1 or more worktags of the Condition Worktag Type per tablerow. A worktag may only be used once in the
    Conditions
    column.
    Worktags
    Select 1 or more worktags of any allowed worktag type to replace the worktags on allocation pool transaction lines. You can only select 1 worktag per worktag type per tablerow.
    When you configure related worktags, Workday:
    • Populates related worktags when you select a worktag value. Delete any worktags you don't need in your rule.
    • Doesn't apply related worktags to your transaction lines, only the values selected in the
      Worktags
      column.
You can select the override rule on the
Accounting
tab when creating or maintaining an allocation pool.
Scenario: Your allocation plan includes an allocation pool representing the federal portion of your allocated cost. The costs coming into the pool include
State Appropriation
and
State Fund
worktags. You want to override these worktag values with
Federal Appropriation
and
Federal Fund
worktags. The values of both the federal appropriation and federal fund are based on the value of the state appropriation coming from your source lines. You create a worktag override rule with these values:

You configure your allocation pool and navigate to the
Accounting
tab. You configure these settings:
  • In the
    Pool Worktags
    grid, you select:
    • Appropriation
      worktag type from
      Source
      .
    • Fund
      worktag type from
      Source
      .
  • In the
    Worktag Override Rule
    field, you select
    State to Federal Appropriation Override Rule
    .
Result: When you process your allocation plan, allocation pool transaction lines targeting the pool include:
  • A
    Federal Appropriation
    worktag and not a
    State Appropriation
    worktag.
  • A
    Federal Fund
    worktag and not a
    State Fund
    worktag.
Configure target allocation pools to include the override rule. You can use a worktag override rules on 1 or more allocation pools. You can only select override rules for worktag types included in the
Pool Worktags
grid on the
Accounting
tab of a pool.
