FAQ: Real-Time Credit Card Authorizations

What is Astrada?
Astrada is a Workday approved subprocessor that connects directly to major card networks, including Visa and Mastercard, and delivers real-time transaction data to Workday. This enables real-time expense reporting, faster reconciliation, and enhanced user experiences within the Workday platform.
Do I need to contract separately with Astrada for this feature or is the use of Astrada already covered by my existing main subscription agreement with Workday?
You don't need to contract separately with Astrada for this feature. Astrada is a subprocessor of Workday and is therefore covered under the customer’s existing main subscription agreement with Workday.
What information is available for security or compliance teams regarding Astrada’s role as a subprocessor of Workday?
Workday assesses all third-party subprocessors through cross-functional review, including checks for security, privacy, and compliance, ensuring contractual terms address appropriate data sourcing rights before usage. Furthermore, Workday requires that all subprocessors adhere to data protection terms no less protective than the Universal Data Processing Exhibit (uDPE) and Universal Security Exhibit.
What data does my bank send to Astrada?
Your bank sends Astrada the VISA VCF4 data or Mastercard CDF3 data, which consists of all the credit card numbers enrolled in the customer’s credit card program.
How long does Astrada retain my credit card authorization data for each credit card transaction?
Astrada retains the authorization data of each credit card transaction for 7 days.
Is there a document that outlines Astrada’s security, compliance, and data-handling practices that I can share internally?
Customers can view Astrada’s Standardized Information Gathering questionnaire from Workday’s Security and Compliance Center.
Does this feature leverage any AI services or LLMs?
No, this feature does not leverage any AI services or LLMs.
Once Astrada sends my credit card authorization data to my Workday tenant, how long does Workday retain the data?
Credit card authorizations that are not linked to the corresponding credit card transactions will be automatically deleted from your Workday tenant within 7 days of ingestion into the tenant. Workday persists credit card authorizations linked to the corresponding credit card transactions in your Workday tenant.
Do you support real-time authorization for Central Travel Account (CTA) or department cards?
We don't currently support real-time authorization for CTA or department cards. If a central travel transaction does not have an employee assignee, Workday won't create an expense line automatically. If the transaction is assigned to an employee or includes an employee ID, Workday automatically creates the expense.
