FAQ: Expense Management

How are expense approvers impacted?
When approvers send back expenses for correction, we still route these expenses to the expense payee inbox. Expenses that are sent back don't display on the
Expense Activity
page. Workday won't add any new expenses to expense reports that are sent back.
What if users need to revert back to using the standard Expenses experience?
Expense payees can still access the standard Expenses user experience through task selection and search. On the
Expense Management
user interface, we also provide a link back to the standard Expenses functionality.
How do users submit out-of-pocket expenses?
When there is a receipt, the following features can be used to submit out of pocket expenses:
  • Mobile Application: Photos App - Share with Workday Expenses
  • Mobile Application: Workday Expense Hub - Scan
  • Receipts Email forward Receipts
  • Workday Integration for Microsoft Teams
  • Workday Integration for Slack
Users will need to clear the
Paid with Corporate Card
check box if enabled and defaulted in order to submit.
Why is my expense missing from the activity page?
In some cases, expense transactions will not be displayed on the
Expense Activity
page. This includes when:
  • The expense is deleted from the expense report in the original Expenses interface. You will need to manually add the expense to the appropriate expense report. Workday won't attempt receipt matching.
  • When an expense report is cancelled or denied, then all transactions are removed from the expense report and are available in the backlog.
  • Errors exist on the transaction, preventing Workday from adding it to an expense report. Examples:
    • The total credit card transaction amount exceeds the maximum permitted amount for the expense report line.
    • The total transaction amount equals zero.
    • The credit card transaction is associated with an expired card.
What is a trip?
Workday automatically creates trips based on your airfare card clearing data. It then automatically groups related expenses on or between flight dates to that trip and applies related information including worktags and destination. Additionally, you can now report on Trips as a business object, providing an overview of travel-related spending, enabling travel and expense analysis, and ensuring compliance.
