Concept: Foreign Currency Customer Payments

In Workday, you can create customer invoices and payments in currencies other than the base currency of your company. You can also process invoices in a base currency but receive payments in a different currency.
Example: Your Canadian company creates an invoice for a customer in France who wants their billing in EUR. Their default currency of EUR overrides your default currency of CAD. Workday displays the billing amounts on accounting journals in EUR and converts the amounts into CAD.

Customer Invoices and Invoice Adjustments

When you create a customer invoice, Workday posts the invoice amount to a ledger account and converts the currency at that time. Workday still displays the invoice in the currency of the customer, but displays the accounting in the base currency of the company.
When you create a customer invoice adjustment, the currency for the adjustment must match the currency on the related invoice. For credit and rebill, the company and customer must be the same on the original invoice and the rebill.

Customer Payments

You can pay a customer invoice in a different currency except when you:
  • Automatically apply payments.
  • Enable worktag balancing functionality in your tenant.

Currency Rate for Cross-Currency Payment Applications

When you apply cross-currency customer payments, Workday automatically uses the currency rate as of the payment application date. You can also use the currency rate as of the payment date when you select the
Use Payment Date Currency Rate for Cross-Currency Payments
check box on the
Edit Tenant Setup - Financials
task.
Example: You have a customer invoice in USD. You record a customer payment with the
Payment Currency
of
EUR
and the
Payment Date
of
03/05/2025
. When you apply the payment against this invoice, you select the
Transaction Date
of
03/10/2025
. The EUR:USD conversion rate on 03/05/2025 is 1.15 and the rate on 03/10/2025 is 1.20. By default, Workday applies the
1.20
currency rate for this cross-currency payment. When you opt in to this feature, Workday uses the
1.15
rate instead.
Regardless of the opt-in setting, you can override the setting by specifying your preferred rate.
You can view the currency rate in the
Payment to Invoice Currency Rate
field on the
Activity
tab of your customer invoice and in custom reports.
