Dispose of Assets

Dispose of Assets

  • Set up asset accounting. See Steps: Set Up Asset Accounting.
  • Complete any lifecycle events in progress on the assets you dispose of.
  • Configure these business processes and security policies in the Business Asset Tracking functional area:
    • Asset Disposal Event
    • Asset Reinstatement Event
You can dispose of:
  • Assets with lifecycle events.
  • Intangible assets that you register manually or from supplier contracts.
  • Leased assets that you register from supplier contracts when they reach their depreciation and contract end date.
  • Leased assets that you register manually.
You can use the:

Considerations
Dispose Assets
Task
Fully or partially dispose of capital assets by cost or percentage. Example: You sell square footage from a building you own.
You can select any disposal type that's not
Expire
. Example:
Discard
.
Dispose Expired Assets
Task
Fully dispose of expired capital assets with a disposal type of
Expire
.
To dispose of fully expired intangible assets that have residual value, use the
Dispose Assets
task instead.
Dispose Asset
SOAP Web Service Operation
Fully or partially dispose of assets. You can use this web service operation to dispose of assets due to:
  • Expiration by using the
    Expire
    disposal type on capital assets.
  • Any other reason by using other configured disposal types.
You can also reinstate fully disposed assets. When you reinstate capital assets, Workday reverses recaptured bonus depreciation and returns it to the depreciation schedule on nonaccounting asset books. Workday also generates accounting to:
  • Reinstate the accumulated depreciation.
  • Reinstate the asset cost.
  • Reverse any gain or loss booked for the disposal.
  1. Access 1 of these tasks:
    • Dispose Assets
    • Dispose Expired Assets
  2. Complete the
    Filter Criteria
    section.
  3. Complete 1 of these sections:
    • Apply To All
      on the
      Dispose Assets
      task.
    • Asset Disposal Details
      on the
      Dispose Expired Assets
      task.
    When disposing of expired assets, Workday populates the
    Disposal Type
    as
    Expire
    and you can't change it.
    For depreciable capital assets, you can override the depreciation adjustment option. This option only applies to assets that aren't expired. See Concept: Depreciation Adjustment Options.
  4. Click
    OK

  5. On the
    Assets
    grid, select assets to dispose of.
  6. (Optional) Update the disposal information on assets that you select.
    Example: To partially dispose of assets that aren't expired, enter a value in 1 of these fields:
    • Percent to Dispose
    • Cost to Dispose
  7. Click
    OK

    Submit

    Done

The
Asset Disposal Event
business process includes the
Complete Business Asset Accounting
required step, which sends a task to My Tasks when:
  • You dispose of a capital asset.
  • There are proceeds from a sale or a donation for an expensed asset.
The task enables you to complete accounting information for the disposal, such as applying worktags on the gain or loss.
When you dispose of assets, Workday:
  • Calculates accumulated depreciation and any gain or loss and creates a journal entry.
  • Changes the status of fully disposed assets to
    Disposed
    and severs the relationship to workers.
  • Doesn't change the status of partially disposed assets that are in service or issued to workers.
  • Makes any related capital project assets unavailable for further adjustments.
To reinstate an asset, select
Business Asset
Reinstate
from the related actions menu of the asset.
