Reporting on Awards as Another Worker
To give users insight into the award information another worker can access, you can create custom reports that enable users to view as another worker and role. You can create the custom reports using these report data sources and filters:
RDS | RDS Filter |

Award Lines
| My Award Lines Filter
|
Journal Lines for Financial Reporting
| Award Journal Lines for Award Header and Line Roles and Reporting Time Period
|
Plan Lines for Financial Reporting
| Award Budget Lines for Award Header and Line Roles and Reporting Time Period
|
To view the custom reports as another worker and role, users must have at least 1 role at the award or award organization level. Users can use these prompts:
Prompt | Details |
|---|---|
View as Employee

View with Employee Role
| Select a role on the award or award organization for the worker in the View as Employee field.
You can select multiple roles for a single worker. Workday returns only the rows that both you and the employee can access. |
Reporting on Award Attachments
To create or maintain an award, you can add attachments to your award-related objects. When you no longer need these attachments, Workday enables you to purge the attachments from their respective objects to maintain data privacy. To identify purgeable attachments, you can create custom reports using these business objects and report fields:
Business Object | Report Field |
|---|---|
Award | Attachments |
Award Proposal | Attachments |
Award Task | Attachments |
Letter of Credit | Attachments |
Subaward Abstract | Attachments for Subaward Subaward Risk Assessment > Risk Evaluation Attachments |
Supplier | Attachments for Subrecipient Subrecipient Risk Records > Risk Evaluation Attachments |
After you purge an attachment, the report field will continue to show an attachment but the attachment will be empty. For more information on which award-related attachments are purgeable, see Reference: Purgeable Data Types.
