Enabling Enhanced Award Costs Processing (ACP)

By default, Workday uses Legacy ACP to process spend transaction headers for award costs. Starting in 26R2, you can enable
Enhanced ACP
to process posted journal lines instead of transaction headers. This enables you to trace each grant accounting line to the original source journal entry and respond to accounting and payment changes sooner. To enable Enhanced ACP:
  1. Ensure that your company award costs processing rule is set to
Generate Award Costs at Business Process Completion
. If your award costs processing rule is set to
    Generate Award Costs at Settlement
, contact Workday Support to understand your options before opting in.
  2. Access the
    Maintain Feature Opt-Ins
    task.
  3. Select
    Opt In To Feature
    for
    Enable Enhanced Award Costs Processing
    .
    Security:
    • Set Up: System
domain in the System functional area
    • Customer Central Security Administration
domain in the Customer Central functional area
  • Once you enable Enhanced ACP, you can't disable it.
  • You don’t need an idle tenant to enable Enhanced ACP. Workday finishes in-progress award costs processing before Enhanced ACP fully activates, and you can continue accessing the
    Reprocess Award Costs
task during activation. Workday might stop queued legacy jobs (except reprocessing jobs) and resume them in Enhanced ACP once activation completes.

  • Processes award costs 1 spend transaction at a time.
  • Handles Reprocess Award Costs
Award Costs Background Process
:
  • Initiated when you run Reprocess Award Costs, this job then transitions to another job with a dynamically derived name in the format of Award Costs Processing of Journal Lines - [grant] - [basis limit] - [creation moment].
Award Cost Processing of Journal Lines - [grant] - [basis limit] - [creation moment]
:
  • Reprocesses the award costs for journal lines that share the same grant and basis limit.
Award Costs Sweeper Background Process
:
  • Processes award costs for all eligible journal lines that are ready to be processed at the time.
  • Scheduled to run every 15 minutes or when an event that triggers ACP occurs.
  • There can be 0-2 sweeper jobs running at any one time.
  • If a new trigger occurs while the sweeper job is running, Workday queues the new instance to wait for the current job to complete. When this happens, you see 2 sweeper jobs in the process monitor – 1 Processing and 1 Queued.
ACP Initiation
Runs at business process completion or settlement of the spend transaction, depending on your configuration on the company award costs processing rules.
Runs at business process completion of the spend transaction, regardless of your configuration on the company award costs processing rules. Also runs whenever new journal lines are created, for example when you change a supplier invoice or procurement card.

Supported spend transactions
When you enable Enhanced ACP, Workday uses Legacy ACP for all the transactions listed in Reference: Facilities and Administration Spend Transactions, except for these transactions, which are always processed with Enhanced ACP:
  • Allocation Pool
  • Fringe Benefit Reallocation
  • Pay Accounting Reallocation
When you enable Enhanced ACP, Workday processes all the transactions listed in Reference: Facilities and Administration Spend Transactions. with Enhaned ACP.
Grant in the Facilities and Administration (F&A) and Award Revenue Recognition (ARR) lines
You can’t see the grant worktags when you view accounting on the F&A and ARR tabs of a spend transaction. To find the grant on a F&A or ARR journal line, click
View Journal
on the line to locate the grant worktag in the
Worktags
column.
When you view accounting on the F&A and ARR tabs of a spend transaction, you can see the grant associated with each journal line in the
Grant
column.
If a spend transaction was processed by the:
  • Enhanced ACP, there can be only 1 grant in the
    Grant
    column for 1 journal line.
  • Legacy ACP, there can be multiple grants in the
    Grant
    column for 1 journal line.
Grouping of F&A and ARR accounting lines
Groups the F&A and ARR lines in the order of:
  • Transaction.
  • Company.
Example: If a transaction contains multiple grant worktags and budget dates, each F&A and ARR accounting line is aggregated for the all the grants and budget dates in the transaction.
Groups the F&A and ARR lines in the order of:
  • Transaction.
  • Company.
  • Grant.
  • Budget date.
Example: If a transaction contains multiple grant worktags and budget dates, each F&A and ARR accounting line corresponds to a single grant and budget date combination.
Due to this change, you might see a different number of cost reimbursable spend lines generated by Enhanced ACP.
F&A and ARR accounting worktags
The F&A and ARR accounting lines contain only these worktags:
  • Cost Center
  • Fund
  • Grant
  • Object Class
  • Revenue Category
  • Spend Category
The F&A and ARR accounting lines contain all the worktags inherited from the source spend journal entries, with the exception of excluded worktags. For example, you might now see these additional worktags on the F&A and ARR accounting lines from a Supplier Invoice spend transaction:
  • Purchase Item
  • Tax Applicability Taxable - Non-recoverable + Allocation
To ensure data privacy, Workday excludes these worktags from the F&A and ARR accounting lines and from the

column contains only cost reimbursable spend lines generated from eligible source spend journal lines.
Basis limit consumption
Consumes basis limit at the creation moment of the source spend operational transaction.
Consumes basis limit at the creation moment of the source spend journal lines.
The same operational transaction might create journal lines in different orders at different runs. When you submit multiple spend transactions together, the order of basis limit consumption can vary between runs for identical transactions.
Payment returns
When you make payment returns on spend transactions that are:
  • Unbilled: Workday cancels the existing
    Ready to Bill
    cost reimbursable lines.
  • Billed: Workday creates
    Ready to Bill
cost reimbursable spend lines with negative amounts to reverse the returned payments.
The accounting date on the cost reimbursable spend lines for a payment return is the date you make the payment return.
When you make payment returns on spend transactions that are:
  • Unbilled: Workday cancels the existing
    Ready to Bill
cost reimbursable lines and creates new lines that are
    Awaiting Settlement
    for the same amounts.
  • Billed: Workday creates
    Ready to Bill
lines with negative amounts to reverse the billed amounts, and creates new
    Awaiting Settlement
lines for the amounts that now need to be settled.
When a payment return causes the amount you need to settle to change, for example when you return a payment that had originally triggered a discount, Enhanced ACP cancels or reverses the existing
Ready to Bill
lines for the discounted amounts, and generates new
Awaiting Settlement
lines for the full amounts that now need to be settled.
Enhanced ACP processes
Return Payment
and
Cancel Payment
through a scheduled job that runs in the background every 15 minutes. By contrast, payment cancellations through
Cancel Settlement Run
are processed immediately.
The accounting date on the cost reimbursable spend lines for a payment return is the budget or accounting date of the original spend transaction.
Settlement with discounts
When you settle a transaction that’s eligible for a discount, Workday:
  • Cancels the journal lines with the full amounts.
  • Posts new journal lines with the discounted amounts that are
    Ready to Bill
    .
Enhanced ACP processes discounted settlements similar to Legacy ACP, but with fewer journal entries.
Reprocessing award costs
When you specify a grant in
Reprocess Award Costs
, Legacy ACP reprocesses the transactions for all the grants in the same award as the specified grant.
When you specify a budget date range in
Reprocess Award Costs
, Legacy ACP reprocesses all lines on that transaction, including those that fall outside the specified budget date range.
When you specify a grant in
Reprocess Award Costs
, Enhanced ACP reprocesses only the journal lines associated with the specified grant.
When you specify a budget date range in
Reprocess Award Costs
, Enhanced ACP reprocesses only the journal lines within the specified date range.
Enhanced ACP also automatically reprocesses award costs when you make changes to:
  • Source transactions that result in new accounting, for example when you change the budget date of the original spend transaction.
  • Payments, for example when you return a payment.
Multicurrency transactions
Calculates F&A for multicurrency transactions in the base currency used in the source transaction.
Calculates F&A for multicurrency transactions in the ledger currency that you bill the sponsor in.
Reversing accounting journals
When you reverse accounting journal entries that you haven’t billed, Legacy ACP creates new F&A and ARR accounting for the reversal journal entries.
When you un-post and repost an accounting journal entry, Legacy ACP marks the original journal entry as
Canceled
and creates a new journal entry as
Posted
.
When you reverse accounting journal entries for transactions that you haven’t billed, Enhanced ACP cancels the original F&A and ARR journal entries and doesn’t create F&A and ARR accounting for the reversal journal entries.
When you un-post and repost an accounting journal entry, the original journal entry stays
Posted
.
Workday recommends that you turn on the
Always Reverse
journal options in your tenant setup to prevent users from unposting journal lines.
Intercompany accounting journals
Creates F&A and ARR accounting only on the intercompany parent accounting journal.
Creates F&A and ARR accounting on both the intercompany parent and intercompany child accounting journals.
Student financial transactions (student financial aid disbursement and student waiver disbursement)
Legacy ACP processes the transactions:
  • In real time when you complete the transactions in a user interface.
  • In the background every 15 minutes when you submit the transactions through web services.
Enhanced ACP processes the transactions in a background job every 15 minutes regardless of whether you initiate the transactions with user interfaces or web services.
Canceling or unapplying student financial transactions
Legacy ACP cancels and reverses the original disbursement.
Enhanced ACP doesn’t cancel or reverse the original disbursement. Instead, it treats the cancellation as a separate transaction and creates cost reimbursable lines with negative amounts for the cancellation. The cost reimbursable lines for the original disbursement remain unchanged, and the balance nets to zero.
Tax on journal lines
Award costs are calculated on tax associated with a transaction, regardless of whether the tax is allocated on the source transaction or added separately.
Award costs are calculated only for tax allocated on the source transaction journal lines, not on tax added separately.
Canceling payroll forward accrual or fringe benefit forward accrual
Billing status of the cost reimbursable spend lines is set to
Not Billable
.
Billing status of the cost reimbursable spend lines is set to
Canceled
.
Miscellaneous payment requests
The F&A and ARR lines contain the
Miscellaneous Payee
worktag.
To protect data privacy, the F&A and ARR lines don’t contain the
Miscellaneous Payee
worktag.
Correcting Procurement Card Transaction Verifications for multiple companies
When a procurement card transaction verification contains multiple procurement card transactions for different companies, and you initiate a Correct operation to change 1 of the transactions, Legacy ACP reprocesses just the changed transaction in the verification.
When a procurement card transaction verification contains multiple procurement card transactions for different companies, and you initiate a Correct operation to change 1 of the transactions, Enhanced ACP cancels all the cost reimbursable lines associated with the original verification and recalculates award costs for all the transactions in the updated verification.
Reprocessing award costs for spends outside of the award line dates that have been manually updated with the
Manage Cost Reimbursable Billable Transactions
task and subsequently billed
Legacy ACP creates new cost reimbursable spend lines that are also
Ready to Bill
.
Enhanced ACP creates new cost reimbursable spend lines that are
Pending Award Line Date Review
instead of
Ready to Bill
, as manual status overrides don’t persist through cancellations or reversals.
