Example: Set Up Access Rules for VP of Sales

Create access rules for the VP of Sales.

The VP of Sales must:

Edit the data for all accounts for all sales levels.

View all general ledger data for all levels.

Not view the sales details for any level except the sales levels.

The model structure:

HQ G&A Finance Human Resources Sales Sales NE Sales NW Sales SE Sales SW	Expenses Salary (linked to Personnel modeled sheet) Inventory Revenue Units Discount Percent	Information about the sheet: Calculates salary based on details of each employee. Salary account in the sheet links to the Salary account in the general ledger. The Salary Detail setting for the sheet is on. This setting means you need the Salary Detail permission to open the sheet.

Assign the Contributor
permission set to the VP of Sales. See Example: Create a Permission Set and Assign to Contributors.

Save your access rules in a spreadsheet called New Access Rules
. You have already created access rules for admin, CEO, and Financial Analyst.

Security: Users
permission.

Open the New Access Rules
spreadsheet from your computer folders.

As you complete the columns of the first blank row, consider:

Access Type	Enter Edit .
Username	Enter vpsales@company.com .
Level (Grant)	Enter Sales . Because Sales is a parent account, the rule automatically includes all the child levels of Sales .
Account (Grant)	Enter (+) to grant access to all accounts at the Sales level.
Product (Grant)	Enter (+) to grant access to all products.

As you complete the columns of the next blank row, consider:

Access Type	Enter Limited View . Limited View doesn't let the vice president see splits.
Username	Enter vpsales@company.com.
Level (Grant)	Enter (+) to provide limited view to all levels, except Sales . Because all salary details in the Personnel sheet are splits, the vice president can see only the rollup values for all levels. The vice president can see the splits of the sales level due to the previous rule.
Account (Grant)	Enter (+) to grant limited view acess to all accounts at all levels.
Product (Grant)	Enter (+) to grant access to all products.

Save the sheet as New Access Rules
