Add Alternate Calendars

Add Alternate Calendars

  • Download the TimeStructure Spreadsheet. To add calendars, we recommend that you export the existing Time Structure as a starting point.
  • Security:
    • Model Management Access
      permission.
    • Time
      permission.
    • Configure Calendar
      permission.
With alternate calendars, you can view data in reports, sheets, and dashboards at time rollups that don't exist in your default calendar. To add alternate calendars, we recommend that you use the export, not the blank template.
If you have a legacy calendar, adding an alternate calendar switches your calendar to a custom calendar.
  1. Open the exported TimeStructure spreadsheet.
  2. Insert a row for each alternate calendar and enter a name and code for the alternate calendar in the 1st and 2nd columns.
Insert the rows between the default calendar row and the first date.
For words to avoid and other guidelines, see Reference: Naming Conventions Best Practices.
Example: Your default calendar is a labor period year and you want to add a calendar year and a fiscal year as the alternate calendars. In the example, regular text indicates existing content from the export. The italicized text indicates new content that you add to the export:
    Calendar Name
    Calendar Code
    Date*
    Code*
    Label*
    Short Name
    Labor Period Year (default)
    LBRYR

    Calendar Year
    CALYR
    Fiscal Year
    FISYR
    12/30/2016
    week52
    Week 52
  3. For time strata that you want the alternate calendar to share with the default calendar, copy the
    Code
    and
    Label
into the new row you inserted for each alternate calendar.
Alternate calendars and default calendars must share:
    • The leaf time strata of the default calendar. The leaf time strata is the smallest strata.
    • The fork strata, or the last common strata between both calendars.
    • All the strata between the leaf and the fork.
Example: For both alternate calendars, copy the
    Code
    and
    Label
for Week to indicate that the calendars share the Week strata. We removed the
    Calendar Code
    and
    Short Name
columns to simplify the view of the example.

  4. Skip all columns after the fork strata and scroll to the end of the default calendar columns.
  5. For each alternate time strata, add these columns in this order:
    • Code
    • Label
    • Short Name
  6. In the alternate calendar rows, enter the time strata code and label for each alternate rollup.
Add alternate rollups in order from smallest to largest.
    Example: In the
    Label
    columns for Calendar Year, enter
    C-Month
    ,
    C-Quarter
    , and
    C-Year
    after
    Pay Year
    . For Fiscal Year, enter
    F-Month
    ,
    F-Quarter
    , and
    F-Year
    after
    C-Year
. In the example, we display only the
    Label
columns to simplify the view of the example. In reality, you have to enter codes in the
    Code
columns, too. You have to include a column for
    Short Name
, but you can leave the cells blanks. :

  7. Map an alternate rollup code and label to each date.
Smaller strata must not span across 2 rollups. Example: Every row with W1-17 must map to the same month. Every row with Jan-2017 must map to the same quarter, and so on.
Example: Map the dates in December 2016 and January 2017 to the Calendar Year rollups and the Fiscal Year rollups. For the Fiscal Year, the first quarter starts in February. We display only the
    Label
columns to simplify the view of the example.

The alternate calendars display in the
Calendar
drop-down prompts throughout the model. The
Strata Rollup
banner at the bottom of the
Time
admin page, displays time units with indications of the default unit and the fork unit.
