Create Report Snapshots

  • Create Personal Reports

  • Create Shared Reports
    permission.
A snapshot is a saved copy of a report at a particular point in time. You can capture a snapshot of matrix and model reports in these formats:
  • HTML with a parameterized level.
  • Excel.
  • PDF.
Snapshots enable you to archive a report so that any report data, including annotations, remain unaffected by structural changes in your instance. You can access the live version of the report from the snapshot as long as it's available to you.
  1. Select
    Reports
    from the main menu.
  2. Access the
    Personal
    or
    Shared
    report folder.
  3. Right-click a report and select
    Create Snapshot
    .
  4. As you complete the task, consider:

    Description
    Enter hover text to display for the snapshot in the reports folders.
    Level parameter options
    This option displays for HTML reports only when:
    • They contain levels as report parameters.
    • You can access multiple levels.
    Click
    Include All Levels
    to capture the entire organization structure, including the data and annotations for levels you can access. A snapshot report can include a maximum of 6,000 levels. If your snapshot report exceeds this limitation, the option to include all levels becomes disabled and a message displays.
    The
    Include All Levels
    option is also not available for reports that include level parameters for which you've allowed multi-select.
    Default Output
    Select one of the output types for the snapshot:
    • HTML
    • PDF
    • Excel
    You can only select
    Excel Template
    if the report contains an attached template. Workday only produces report book snapshots as ZIP files.
    Create & Share
    Only available when you save the snapshot in a shared folder.
