Concept: Sheets
Sheets
provide an interface to view, enter, and update data (such as actual ledger data, forecasts, and budgets). There are 3 types of sheets: standard, modeled, and cube. For documentation on building sheets and sheet settings, go to the Model Administration guide.
You can use sheets to enter data or change data. With sheets, you can:
- Enter budget amounts for specific activities and fiscal periods.
- Work with different departments to prepare detailed budgets.
There are 3 types of sheets:
- Standard: Simple spreadsheet with time across the columns and accounts or levels down the rows.
- Modeled: Sheet with a list of records.
- Cube: Multidimensional sheet that you can pivot.
Access to sheets and portions of sheets depend on permissions, assignments, and data restrictions set by your admin.
Sheet Permissions
Administrators must assign permissions to your user ID.
Permission | Description |
|---|---|
Access Sheets
| View sheets. |
Editable Sheet Access
| Enter or change data. |
Access Dashboards
| View and change data in sheets from dashboards you can view. |
Sheet Assignments
Your admin assigns sheets to either you or levels you can access. You can get to sheets assigned to you from the
Assumptions
area and sheets assigned to levels from the Sheets
area. You can also find sheets from the Dashboards
area. With appropriate permissions, you can add sheets to your dashboards and share the dashboard with other team members.Data Restrictions
Your admin can restrict sheets or portions of sheets. Example: Sales-related users have access to the expenses, travel, and other sales-related data on the sheet. They don't have access to the data used by the marketing department. Here are some common restrictions:
- View but not change data.
- View a sheet, but not see certain rows or columns.
Values and Calculations on Sheets
Cells with calculated values use formulas from all areas of the model. You can use Explore Cell to view the formula.
Explore Cell is a right-click action that opens a window with information about the value in a cell. Use it to drill down to contributing details or drill through to source data.
Drop-Down Menus on Sheets for Dimensions, Attributes, and Informational Labels
You can use drop-down menus on sheets to select dimensions, attributes, and informational labels. Your organization defines the custom dimensions, attributes, and informational labels that can display on sheets. Dimensions and attributes act differently on each sheet type.
- Standard sheets: Dimensions can display as columns before the time period columns. You can select dimension values from drop-down menus in the cells of the column. Attributes and informational labels don't exist on standard sheets.
- Modeled sheets: Dimensions, attributes, and informational labels can display in any column. You can select dimension and attribute values from drop-down menus in the cells and they filter related drop-down menus in other cells.
- Cube sheets: You can nest dimensions and attributes in the rows or use them in the columns. You can also use them as filters. Informational labels don't exist on cube sheets.
You can access drop-down menus for cells when you hover over the cells.
Changing Data in Cells
You can change data in white or blue cells. Required columns on modeled sheets have a red asterisk in the column header. You must enter or select values in each row of that column before saving the sheet.
Depending on the cell and the sheet, you can change data in a number of ways:
- Enter data.
- Use formulas. See Concept: Typing Basic Formulas in Sheet Cells.
- Copy and paste.
- Copy forward or downward. See Copy Forward and Downward.
- Adjust values in multiple cells. See Adjust the Values of Multiple Cells.
- Break back values. See:
- Use sparklines. See Use Sparklines in Sheets.
You can clear data in most cells before or after you save the sheet.
Check Boxes and Toggles in Cells
Check boxes and toggles only exist on modeled sheets. Unsaved changes are blue. Saved changes are green or gray.
