Example: Set Up Access for Executives

Use permissions and access rules to set up the typical access required for executive-type roles.
Create the permission set and user profile for the CEO of your company. Like most executives, the CEO must:
  • Build reports and dashboards.
  • View sheets, but not edit the data.
  • View all the data, including rollup data of salaries.
  • Not view the salary details of individual employees stored on the
    Personnel
    modeled sheet.
  • View salary rollups as an expense for the company.
Information about the model:
General Ledger
Personnel Modeled Sheet
Expenses
  • Salary (linked to Personnel modeled sheet)
  • Inventory
Revenue
  • Units
  • Discount Percent
  • Calculates salary based on details of each employee and populates that into the
    Salary
    account in the modeled sheet.
  • Links the
    Salary
    account in the sheet to the
    Salary
    account in the general ledger.
  • Has the salary detail setting enabled. This setting means you need the
    Salary Detail
    permission to open the sheet.
To set up the CEO, you must:
  • Limit their permissions to sheets, reports, and dashboards.
  • Grant full view access to all data, while protecting the salary details on the
    Personnel
    modeled sheet.
  1. Select
    Administration
    from the main menu.
  2. Click
    Permission Sets
    .
  3. Click
    New Permission Set
    .
  4. As you complete the form, consider:
    Option Description
    Permission Set Name
    Enter
    Exec Role
    .
    Set Using Template
    Click
    View Only
    .
    Additional permissions to select
    • Under
      Access Reports
      , check any sub-permissions without check marks.
    • Under
      Access Dashboards
      , check any sub-permissions without check marks.
    • Keep the
      Salary Detail
      permission selected because the access rules that you create prevent access to the details on the sheet.
  5. Click
    Submit
    .
    This permission set enables executives to access sheets, OfficeConnect, web reports, and dashboards.
  6. From the breadcrumbs, click
    Administration
    .
  7. Click
    Users
    .
  8. Click
    New User
    .
  9. As you complete the form, consider:

    Password and Re-enter Password
    Enter anything.
    Permission Set

  10. Click
    Submit

  11. From your computer files, open the
    New Access Rules
    spreadsheet.
  12. As you complete the columns of the next blank row, consider:

    to give the CEO access to all levels.
    Account (Grant All Except)
    Enter
    Personnel
    to exclude all accounts in the
    Personnel
    sheet. The CEO can still view the
    Salary
    account in the general ledger. This general ledger account displays the total expense of salaries per level, but not the details of each employee.
    Product (Grant)
    Enter
    (+)
    to grant the CEO access to all dimension values of the
    Product
    dimension.
  13. Save the spreadsheet.
  14. Return
    Adaptive Planning
    Administration
    Access Rules
    .
  15. From the toolbar, click
    Import
    .
  16. Select
    Update and Append
    .
  17. Click the cloud to upload the
    New Access Rules
    spreadsheet from your computer folders.
  18. Click
    Done
    .
    The rule enables the CEO to view all accounts, except the salary details of the Personnel sheet.
