Reference: Settings for Actuals Versions

If you update the settings of your root actuals version, you automatically update the inherited settings of the sub-actuals and journal entry versions.

General Section

Field Name
Field Description
Name
Labels your actuals versions with a unique name. For words to avoid and other guidelines, see .
Short name
Overrides the automatic abbreviation of the name of the version on dashboards.
Description
Describes the version, but it only displays in the
Version
area of
Modeling
.
Journal entry numbering
(Available only for journal entry versions.)
Determines how to number journal entries:
  • None
    eliminates journal entry numbering.
  • Automatic
    generates numbers for journal entries.
  • Manual
    enables the person creating the journal entries to create the numbers.
The
Automatic

Manual
settings require a
Prefix
and a
Starting number
.

Access Control Section

Field Name

Administrators, Users, Privileged actuals access, Group, and Access level
Unlocks, locks, or hides the version for each user type.

Options Section

Start of version
(Only available for root actuals.)
The earliest time period that you can see.
Example: To start in January 2022, select the year 2022.
End of version
(Only available for root actuals.)
The last time period that you can see.
Example: To end in December 2022, select the year 2022.
Starting scroll location
(Only available for root actuals.)
The first column when you open the sheet. You can still scroll back to the start of version date.
Completed values through
(Only available for root actuals.)
The time period when the actuals overlay on the plan versions stops.
  • If there's a gap between this time period and the
    Start of Plan
    , the plan displays plan data in the gap.
  • If the
    Start of Plan
    comes before this time period, actuals overlay stops at the
    Start of Plan
    .
Lock leading Months through
(Only available for root actuals.)
Locks specified periods of data in the version so users can't edit them.
If you have a custom calendar for your instance, this setting uses the lowest time period available. Example: When you use week as your lowest time period, the setting is
Lock leading Weeks through

Audit Trail
Tracks user changes:
  • To data in sheets.
  • Through imports.
  • To shared formulas.
Users create audit trail searches in
Reports
.
If you uncheck this option for a version, Workday deletes all the previously recorded audit trail information of the existing actuals version.
When you import data into actuals, we recommend turning off audit trail.
Enable Workflow
(Only available for root actuals when you have Workflow enabled for your instance.)
Enables you to submit actuals by level in
Workflow
.
Drill into Transactions
(Available only with the Transaction module.)
Enables the ability to drill into transactions for the selected version.

Translated Currencies Section

Field Description
Enable Translated Currencies
Only available in sub-versions.
Enables you to import actuals data in the values of a single currency for all levels in addition to the local currency per level.
You can enable this capability for 1 sub-version, which automatically enables it for all of the version's sub-versions. The sub-version must have no more than 5 descendants.
Selected Currencies
To activate this field, select the
Enable Translated Currencies
check box.
The currency that you want to load for all versions. With this option, you convert the actuals data to this currency before you load it to Adaptive Planning. This capability provides reporting in this currency that’s consistent with your actuals in your source systems.
Removing a currency also removes the data.
