When you delete levels, you:
  • Delete all descendant levels and the data of the descendant levels.
  • Delete the data associated with the level in all versions, including locked and archived versions.
  • Delete audit trail data associated with the level in all versions, including locked and archived versions.
  • Potentially change data in the parent levels, including locked and archived versions.
  • Break formulas that reference the level in live versions, including locked versions.
  • Don't affect the stored values of archived versions with formulas referring to the level or the parents of the level.
  • Change reports and charts with the level or parent levels, unless you created snapshots.
Disabled when managed by the workforce planning configuration manager.
To save historical data, you can change the level availability for versions, sheets, or users. The table illustrates the results of deleting levels compared to changing level availability:

  • Removes the level from the model.

  • Affects all formulas, reports, and charts that reference the deleted level, excluding archived versions.

Remove from versions with the
Version & Availability Setting
in the level settings.
  • Removing the level from existing versions deletes data.
  • Removing the level from new versions enables you to keep the level available for historical versions to maintain the data.
  • Enables you to reference the data in reports, charts, and formulas when you reference the versions that still have the level.
Remove levels from sheets using the
Sheets
section in the level settings.
  • Enables you to reference historical data for charts, reports, and formulas.
  • Enables you to reference the level in formulas throughout the model in all versions.
  • Prevents data entry and visibility in specified sheets.
Change the access rules for users.
  • Enables users with access to the level to reference historical data for charts, reports, and formulas.
  • Prevents data entry and visibility for users without access.
  1. Select
    Modeling
    from the main menu.
  2. Click
    Levels
    .
  3. From the level list, select a level to delete.
  4. In the settings, click
    View Dependencies
    .
    When there are dependencies, consider changing them. Example: Other accounts or formulas use the level for calculations. You can remove the formula and enter the calculated data to avoid generating an error and losing the data.
  5. From the toolbar, click
    Delete
    .
  6. Read the warning messages carefully and follow the prompts.
