Troubleshooting: Shared Formulas

As you manage your shared formulas, you might run into these issues:
  • Missing or grayed out accounts in the account drop-down menu.
  • Missing levels in the level list.
  • Locked
    Set Formula
    field.

Can't select grayed out level

A workflow admin has changed the status of the level to Approved.
Change the workflow status to
In Progress
. See Steps: Use Workflow.

The level doesn’t display in the level list

Cause
Solution
The level isn’t available in the version that you selected.
Change the version availability for the level. See Change Level Availability.
Security:
Organization Structure

The level is a linked level.
You can’t create shared formulas for linked levels because they contain the level rollup data of the child instance.

Can't select the grayed out account from drop-down menu

Cause
Solution
The account is a linked account.
Unlink the account:
  1. Select
    Modeling
    from the main menu.
  2. Select
    General Ledger Accounts
    or
    Custom Accounts
    .
  3. From the account list, select the account.
  4. In the
    Type
    section, select
    Periodic
    or
    Cumulative
    to remove the link.
    For general ledgers, these terms are in parentheses next to the parent account name.
  5. Save.
Unlinking accounts changes the data across all levels and versions, even locked and hidden versions.

The account has a default formula.
Remove the default formula. See Add or Change the Account Formulas and Overrides.

The account is a group account.
Custom accounts generally belong to groups. Groups are more like folders. You can’t add formulas to a group.
The account is a parent account.
You can add the shared formula to the leaf accounts only. A leaf account has no child accounts.
The account is a system account.
You can’t add shared formulas to system accounts because Adaptive Planning applies calculations to them behind the scenes.

The account doesn’t display in the account drop-down menu

Cause
Solution
Only general ledger and custom accounts display in the drop-down menu. Other accounts don’t support shared formulas.
Try adding default formulas to the account instead of shared formulas. See Add or Change the Account Formulas and Overrides.

Cube
selected for
Data Entry Sheet Type
.
Remove the cube-entered account from the cube sheet:
  1. Select
    Modeling
    from the main menu.
  2. Click
    General Ledger Accounts
    or
    Custom Accounts
    .
  3. From the account list, highlight the account.
  4. In the
    Sheets
    section, select
    Standard
    for
    Data Entry Sheet Type
    .
Removing a cube-entered account from cube sheets, permanently deletes all data associated with the account.

Can't edit the Set Formula field

Cause
Solution
You selected an account group from the account prompt.
Select 1 of the accounts in the group.
You selected an account tagged as an intercompany account and a level tagged as an elimination level.
You can either remove:
  • The intercompany tag from the account.
  • The elimination tag from the level.
Both actions can cause errors in the elimination rules and destroy the logic of your intercompany eliminations.
To remove the intercompany tag from the account:
  1. Select Modeling from the main menu.
  2. Click General Ledger Accounts.
  3. From the account list, select the account.
  4. Expand the Consolidation section.
  5. Select No for the Intercompany option.
To remove the elimination tag from the level:
  1. Select Modeling from the main menu.
  2. Click Levels.
  3. From the list, highlight the level.
  4. Expand the Elimination Settings section.
  5. Clear the Elimination level check box.
  6. Save.

You selected a locked version or a version that has some portion locked.
