Concept: Shared Formulas

Shared formulas are calculations assigned to general ledger and custom accounts. You apply shared formulas at specified levels and accounts across the entire span of a version.

Intersections of Shared Formulas

Shared formulas calculate data at the intersection of:
  • The version you select from the version drop-down above the toolbar.
  • The account you select from the account drop-down in the toolbar.
  • The levels you select from the level list using the check boxes.

Accounts Available for Shared Formulas

You can apply shared formulas to general ledger and custom accounts without:
  • Default formulas.
  • Link
     selected for the account
    Type
     setting.
  • Cube
     selected for the
    Data Entry Sheet Type
     setting.

Shared Formula Maximums

  • 200,000 at the account and level intersection.
  • 10 million across account, level, and time intersections.

Override Shared Formulas

You can override shared formulas when you:
  • Add a default formula to the account. Adding default formulas removes the shared formula from the account at all levels and versions. The default formula calculates the data for the account. The calculated value replaces existing data, even in locked versions. The calculated value doesn't replace data in archived versions.
  • Link the account to another account. Links pull the value from the source account. Links replace all data, even in locked versions.
  • Edit the intersection in a sheet. When the account is available for user edits, you can override the shared formula on the sheet. When users override shared formulas, we display an icon next to the level in the
    Formulas
     page.

Shared Formulas in Sheets

In sheets, cells with shared formulas display a blue triangle in the corner. Unlike other calculated accounts, the cells with shared formulas aren't read-only. You can enter raw data or different formula that overrides the shared formulas.

Updates to the Model and Shared Formulas

When you add child levels, they inherit the shared formulas of the parent levels by default. You can still change the shared formula of the child levels afterwards.
When you add new plan versions, you copy all shared formulas or not copy all shared formulas from another version.
