Create Standard Tasks for Legacy Processes

The functionalities in this topic relate to the legacy workflow and process tracker feature. We recommend that you uptake configurable workflows, a new framework that enables you to design, orchestrate, and execute planning cycles. You can create reusable workflow definitions using a graphical builder, assign tasks dynamically to users, user groups or associations, and manage the entire lifecycle within Hubs. This feature replaces the legacy workflow and process tracker. See Steps: Set Up Configurable Workflows.

Processes and process tasks enable teams to collaborate to complete their planning cycles. Teams can use processes to:
  • Create, manage, and complete tasks.
  • Monitor task progress as teams work towards configured due dates.
  • Communicate with each other using notes on tasks or notifications from process administrators.
As a process administrator, you can create standard tasks that you can assign to:
  • Individual users.
  • User groups.
Standard tasks can:
  • Include task names, task descriptions, task due dates, attachments, and notes.
  • Link directly to the relevant level-assigned sheets, reports, dashboards, or workflows. Assigned users can take action directly in their process guide, which they can access from the process tracker or notifications.
These users take action on their tasks in their process guide.
Example: You assign a task to review the Sales Performance sheet to your sales managers. These sales managers can edit the sheet directly on the process guide task and mark the task as complete.
You can clone existing tasks and change the clones to save time.

  4. As you create your process tasks, consider:

    Task Type
    Select
    Standard task

    Assignment Type
    Assign tasks to a specific user or user group. After you create the task, you can’t change the assignment type. For a task with a different assignment type, create another task.
    Status
    Mark the task as complete when you create it.
    Assigned To
    You can search for a name, email address, or user group in the search bar.
    After you create a task that you assign to a group, you can't change the group assignee. For a task with a different group assignee, create another task.
    How many group members must complete this task?
    Select the condition for completing a group task.
    • All Group Members
      : Each user in the group must complete their portion of the assignment to complete the task. Example: Start a planning process where all group members need to take action on their expense sheets.
    • Any Group Member
      : Only 1 user in the group needs to complete the assignment to mark the task complete. Shares a single task across many users. Example: Any person in the Office of the CFO group can update the merit calculation rate for their company.
    After you create the task, you can’t change this value.
    Content
    Select the context of the task for the assignee. Assigned users can access this content directly on their task from their process guide.
    • None
      : Enables users to complete the task without using Adaptive Planning. Example: You send an email reminder to all your employees to remind them to submit their expense reports by a deadline so that your actuals are up to date.
    • Sheet
      : Enables you to select a level-assigned sheet and version for the task.
    • Assumption Sheet
      : Enables you to select an assumption sheet and version for the task.
    • Report
      : Enables you to select a shared report and version for the task.
    • Dashboards
      : Enables you to select dashboards and further select a specific perspective or a specific dashboard for the task. Assignees can see the relevant context from the process guide.
    • Workflow
      : Enables you to select a version for the workflow. When the user submits the level, the approver gets notified.
    When you assign tasks, Adaptive Planning doesn't validate if these users and user groups have access to the content. We validate access and permissions when these users go to their process guides to view their tasks.
    Due date or Days before process target date
    Due date or Days after process target date
    Select a due date or number of days before the process target date that the task is due.
    Due dates and target dates are time-zone aware. Users see them according to their local time. Example: A process administrator in Los Angeles creates a task due at 1:00:00 PST. The assignee in New York City sees it as due at 1:00:00 EST, even though they work in a different time zone.
As you create tasks, we automatically order them according to this logic:
  1. Due date. The earliest tasks display at the top of the stacks and the most recent tasks at the bottom.
  2. If the due date is the same, order by task name.
  3. If both due date and task name are the same, order by assignee name.
  4. If all of the above are the same, order by task creation date.
