Complete Tasks in a Legacy Process

The functionalities in this topic relate to the legacy workflow and process tracker feature. We recommend that you uptake configurable workflows, a new framework that enables you to design, orchestrate, and execute planning cycles. You can create reusable workflow definitions using a graphical builder, assign tasks dynamically to users, user groups or associations, and manage the entire lifecycle within Hubs. This feature replaces the legacy workflow and process tracker. See Steps: Set Up Configurable Workflows.
  • Ensure that your administrator assigns you access to this content that's related to your tasks:
    • Dashboards.
    • Levels.
    • Reports.
    • Sheets.
    • Versions.
  • Security:
    • To access and complete tasks:
      • Access Process Tracker
        permission.
      • Complete Tasks Assigned to Self
        permission.
      • Complete Any Task
        permission. Enables you to change the completion status of individual or group tasks that you're not assigned to.
    • To access content associated with tasks:
      • Approve Levels
        permission for workflows. Enables hierarchy-level approvers to approve levels through workflow standard tasks on the process tracker.
      • Access Sheets
        permission to view sheets.
      • Editable Sheet Access
        permission to edit sheets.
      • Access Reports
        permission for web reports.
      • Access Dashboards
        permission for dashboards.
The functionalities in this topic relate to the legacy workflow and process tracker feature. We recommend that you uptake configurable workflows, a new framework that enables you to design, orchestrate, and execute planning cycles. You can create reusable workflow definitions using a graphical builder, assign tasks dynamically to users, user groups or associations, and manage the entire lifecycle within Hubs. This feature replaces the legacy workflow and process tracker. See Enable Configurable Workflows.
Your process administrator creates these process tasks to complete:
  • Tasks that they assign to you to complete.
  • Tasks that they assign to a group that you're part of to complete.
They can send a notification with a link to your process guide where you can see and complete tasks assigned to you or groups that you're part of.
Your process administrator can assign your content for your tasks so that you can, directly on the process guide:
  • Edit level-assigned sheets.
  • View specific dashboards.
  • View reports.
  • Change the workflow status of levels that you own.
  • Change the workflow status of assumptions sheets that you have access to.
Process administrators can also give you plain text instructions on tasks with no direct context assigned.
  1. Select
    Processes
    Overview
    from the main menu.
  2. On the
    Process:
    prompt, select a process.
  3. On the
    Assigned to:
    prompt, select
    Me
    .
  4. Select
    Go to Process Guide
    to access the content for your tasks and take action.
  5. Select a task to view and take action on.
  6. To mark the task as complete, select the check box next to your task title.
On the
Process Overview
page, we now display this task on the
Tasks Completed
column. After you complete your tasks, you can still:
  • Add, change, or delete notes from tasks.
  • Change the completion status back to
    Incomplete
    using the process tracker or process guide.
You continue to see your assigned individual and group tasks until all tasks in the guide are complete. After you complete all assigned tasks for a process guide, we remove it from the
Processes
submenu. Other users with incomplete tasks in the process guide continue to see it in the submenu.
