Steps: Set Up Advanced Workflows

  • Enable Hubs in Adaptive Planning. See Enable Adaptive Planning Hubs.
  • Purchase the applicable SKUs to access Advanced Workflows.
  • Security:
    • Edit Hubs
      for administrators to manage hubs and workflows.
    • Manage Workflows
      for administrators to manage hubs and workflows.
    • Access Hubs
      for administrators and task assignees to access hub pages and assigned tasks.
You can use advanced workflows to design, orchestrate and execute planning cycles based on your organizational needs, with complete oversight on how the workflows are progressing.
You can use workflow tasks to:
  • Assign work to users, user groups, or roles (associations in Adaptive Planning) in the order that you want. You can display their work area directly on the task.
    Example: You can display your expenses dashboard directly on the task, where they can edit the sheet, view reports or charts on that dashboard and take workflow action.
  • Enable planners to submit their work to approvers, and approvers to accept or send back those submissions.
  • Enable planners to submit their work to submitters on higher hierarchy levels, and those higher submitters to accept or send back those submissions.
You can use a controlled configuration that automates the collection and approvals of plans with multiple approvers. This enables you to accommodate various levels of detail without adhering strictly to a hierarchy. Example: For project planning based on levels, you can configure approvals on selected leaf levels.
The workflow moves sequentially, and the next task doesn’t trigger until the previous task completes. Example: Your workflow involves 1 to-do-task and 1 assignee, 1 submit task with 2 participating levels and 2 assignees, 1 approve task with 2 participating levels and 2 assignees, and 1 to-do task with 1 assignee. Your first to-do task assignee must complete their task before your 2 submitters can take action. If Submitter 1 submits and Submitter 2 doesn’t submit, Approver 1 can approve for Submitter 1, but Approver 2 must wait for Submitter 2 to submit before they can take action. The final to-do task only triggers after Approver 1 and Approver 2 complete their tasks.
If you have
Manage Workflows
permission, you can monitor the workflows to view task details and progress. When you monitor workflows, you can edit, pause, or resume individual workflows using the Actions menu on the workflows.
For submit and approve task groups:
  • After each submission, we lock that data for those levels and slices of data for all users except users with approval authority or users with the
    Manage Workflow
    permission.
  • After each approval, we lock that data for those levels and slices of data for all users except the users with secondary approval authority or users with the
    Manage Workflow
    permission.
After each submission up the level hierarchy for hierarchy submit tasks, we lock that data for those levels and slices of data for all users except for submitters on higher hierarchy levels or users with the
Manage Workflow
permission.
  1. Create a hub, add workflows to the hub, and share the hub with all workflows administrators and participants.
We distribute My Tasks items to the assignees of the first workflow task, and notify them to take action.
