Overview

This chapter covers Time Tracking administrative tasks and how to perform them.

Objectives

By the end of this chapter, you should be able to:
  • Perform mass time entry, advancement, and submission.
  • Configure the Review Time report, then review and approve time for multiple workers.
  • Adjust calculated time and manage the implications of these adjustments.
  • Run calculations for a date range.
  • Summarize the Import Reported Time Blocks web service.

Time Tracking Administrator

The Time Tracking Administrator user-based security group grants access to create and maintain all time tracking setup data regardless of organization. This security group can execute the administrative tasks we will be covering in this chapter.

Administrative Tasks

The following section includes many administrative tasks that a time tracking administrator may perform using Workday Time Tracking.

Entering and Editing Time for a Worker

You can enter or edit time on behalf of a worker through the Enter Time for Worker report. You can also enter time from the worker's Related Actions, by selecting Enter Time. Then you can enter or edit time directly from the worker's time entry calendar.

Mass Time Entry

The
Mass Enter Time
report allows time entry for up to 100 workers at a time, using the same:
  • Day
  • Time entry code
  • Worktags
Mass Enter Time
uses the Mass Action framework to select workers when entering time as a batch. You can copy and customize this report to meet the needs of your business. Options include adding or removing filters to the faceted search and adding report filters to give more control over which workers are available for selection.
Once you select the appropriate components, Workday validates which of the selected workers to include, based on worker eligibility.
The initiator reviews the workers included in the batch. The initiator submits the time using the
Reported Time Batch Event
business process, where you can route the time for approval based on business requirements.
When you enter time through the
Mass Enter Time
report, time blocks will appear on the worker's calendar in a non-submitted status.
Note
: Once you create time blocks using mass time entry, you must still send them for submission and approval through the
Enter Time
business process.

Mass Auto-fill from Schedule

The
Mass Auto-fill From Schedule
task allows administrators to enter schedule hours as worked time for large groups of employees.
The Mass Auto-fill from Schedule process automatically creates time blocks for groups of workers without any worker intervention. Therefore, workers do not need to physically enter time every week if they work their typical schedule. This feature can be especially useful when dealing with exception-only time reporters.
Note
: Mass Auto-Fill is for workers whose work week begins after the process runs, the process auto-fills time blocks for the
upcoming week not the current week.
Configure Mass Auto-Fill from Schedule on the time entry template on the Business Process tab.
You can schedule the Mass Auto-Fill from Schedule Process to run at regular intervals.
When running the Mass Auto-fill from Schedule task, you will notice the Exclude Workers on Leave checkbox. Select this checkbox to prevent Workday from filling time blocks for workers who have approved leave of absence events during the period you are auto-filling time for.
Additionally, the Auto-fill Time by Schedule Service on the Hire business process allows you to create time blocks from the schedule for new hires. Beginning on the hire date through the last day of the worker's first work week.

Mass Submit Time

A common use of the Mass Submit Time report is submitting time for check-in/check-out or time clock integration users. You can also use it to submit time for workers who have entered time but not submitted time before payroll processing. It allows you to search for and select specific workers and submit their time according to these context-specific facets:
  • Cost Center
  • Custom Organization
  • Pay Group
  • Supervisory Organization
  • Time Entry Template
Once you have run the report, Workday sends a notification with names of the workers used, and summary of the time submitted. The
Mass Submit Time
report secures via the Process: Mass Submit time domain security policy.
Note
: You can copy the Mass Submit Time report into a custom report and add unique facets. However, the Pay Group and Time Entry Template facets are not available for use. The unique facets you use are not effective dated.

Auto Submit Time

As an alternative to mass submitting time, you can Auto Submit Time. With the option to submit any unsubmitted time, any imported time, or any imported time with auto submit value true. With Auto Submit Time you create schedules to have Workday submit time automatically based on configuration selections. This saves time eliminating the need to schedule time submission for each time period as well as the need to manually select workers. When configured, Workday submits all time blocks found for the schedule, that fit within the specified critera.

Period Schedules

In an earlier chapter, we discussed time period schedules as a component of Time Tracking setup. These time period schedules work closely with payroll period schedules to determine when and for which dates to pay employees. Remember, time periods map to payroll periods. If approved time exists for a worker in the current period, Workday will process and pay that time.
Alignment of Time Period Schedules and Pay Period Schedules
Time period schedules and pay period schedules do not have to align. Whether or not they align, there is always some delay between the end of a pay period and the paycheck cut date.
Periods Aligned
The pay period schedule lines up with the time period schedule if, for example, both the Pay Period and the Time Period begin on June 1 and end on June 15. Payroll processes and pays out on June 20 for all work hours entered between 6/1 and 6/15.
In this case, Payroll and Time Tracking can share the same time period schedule.
Periods Not Aligned
However, say that the Time Period begins on May 28, but the Time Period does not begin until June 10. In this case, the periods do not align. When time periods do not align, payroll processes hours from the start of the payroll period to the pay period end date or the time period end date. Whichever comes first. The retroactive payment process picks up hours worked during a portion of the Time Tracking period.
In our example above, the Time Tracking period 5/28 - 6/10 maps to a payroll period of 6/1 - 6/14. When payroll processing occurs, payroll picks up and processes time from the start of the associated Time Tracking period, 6/1 - 6/10. The retroactive payment process picks up the Time Tracking hours from the start of the payroll period, 5/28 - 5/31. The same process repeats for the subsequent pay period starting on 6/15. For this pay period, payroll picks up the Time Tracking hours from 6/11 - 6/14 only when the associated retroactive payment process runs.
Important
: When the payroll period does not align with the Time Tracking period, you must run the retro pay calculation. Running retro will pick up work hours that fall outside the range of dates calculated in the current payroll run.
This configuration occurs on the period schedule itself. In the Usage field, you can indicate usage by Time Tracking and Payroll. In the Periods grid, in the Payroll Payment Date column, you can indicate the date on which the payment occurs.
Considerations for Mapping Time Periods to Payroll Periods
How you configure period schedules depends on your payroll practices.
Time Period and Pay Period Dates Match
If you pay employees for time worked on the same dates covered by the pay period, Workday Payroll and Time Tracking can share the same period schedule. You can use this scenario to pay all time in arrears, when you pay employees for all time worked several days after they have worked.
Scenario:
  • The pay period is 01/01 - 01/15.
  • The payment date is 01/15.
  • When you run payroll for 01/01 - 01/15, you want to pay time worked for the same dates.
Configuration: Create a period schedule that has a Usage of both Payroll and Time Tracking.
Workday recommends you create a shared period schedule that also coincides with the work schedule, if weekly time periods align with weekly pay periods.
Time Period and Pay Period Dates Do Not Match
Use this method when regular time pays through Payroll and nonregular time pulls from Time Tracking on a lag. You can use this method to pay regular time current and nonregular time in arrears.
Scenario:
  • The payroll period is 01/15 - 01/30.
  • The pay date is 01/30.
  • When you run payroll for this period, you want to pay time worked from 01/10 - 01/24 (a two-week period).
  • You want to define weekly time periods so that you can lock out time periods at the end of each week to better enforce time entry.
Configuration:
  • Create a pay period schedule with a Usage of Payroll.
  • Create a separate time period schedule with a Usage of Time Tracking.
  • Link the period schedules by mapping each time period to the corresponding pay period.
Open and Closed Dates for Time Entry
Remember that you can control when the time entry calendar is open or closed for time entry using the fields on the
Create/Edit Period Schedule
page.
  • Open Time Entry - The date you can enter time for a time period.
  • Lock Time Entry - The date you lock time entry for a time period for payroll processing. Locking time entry prevents users from entering time to allow payroll to process worked time and calculate earnings.
  • Unlock for Adjustments - The date you reopen a previously locked period so that users can adjust time entries in a prior period.
  • Close Time Entry - The date you close the time period schedule to all users and security groups. Workday will not close the time period schedule if the date and time is blank or is in the future. Use caution when removing or updating the close date and time as you are reopening the period for any eligible user to edit their time.
Touchpoint
: If payroll comes into scope later, you may need to update existing period schedules to ensure correct open/lock/unlock/close dates for groupings of workers.
Note
: You may want to create a time period that does not directly align with the pay period for a variety of reasons. For example, you might want to closely control the ability to open, lock, unlock, or close specific dates. You might also want to closely control which dates are available for mass submission or mass approval. It is possible to map the same pay period to more than one-time period in this case.
Example: The pay period is bi-weekly. You want to be able to open just one week at a time so workers do not future date time entry more than seven days in advance. You would configure weekly time periods and map two weekly time periods to each bi-weekly pay period schedule.

Time Accumulator

Time accumulators allow you to set up working time or overtime regulations to follow company or country policies and regulations. Using time accumulators allows you to track the number of hours or days a worker has accumulated or will accumulate in one or more calculation tags. Time accumulators sum work hours over an extended period and compare those hours against work hour thresholds you define. This helps to minimize the risk of workers exceeding work hour limits. Additionally, you can alert managers to take corrective actions before workers exceed work hour limits.
Time accumulators run after time calculations to track days and hours tagged with the specific calculation tags you define. Workday recommends that workers only be eligible for two time accumulators at a time.
Create Time Accumulator Task
To create a time accumulator, first access the
Create Time Accumulator
task. The framework is designed to track working time over longer reference periods against a defined threshold. Begin by naming the accumulator and selecting the time calculation tags you wish to include. The Exclude Selected Tags checkbox provides the option to exclude the tags selected rather than include them.
Next make a selection in the Time Day Based On field. Time blocks get pulled into the accumulator if they contain the time calculation tags specified and are in the period of the rule. You have the option to select from Calculated Date, Calendar Date, or Shift Date. A few things to consider:
  • If you select calendar date but there are calculated time blocks in the period with calculation tags included in the accumulator, Workday will include the calculated blocks as well.
  • Workday-generated time blocks or blocks created through the Time Block Create calculation do not have a calendar date.
  • If you select shift date but no shift date available, Workday populates the calculated date.
Time accumulator threshold rules that use the time accumulator are displayed in the Usages grid at the bottom of the page.
Create Time Accumulator Threshold Rules
Next, create time accumulator threshold rules by accessing the
Create Time Accumulator Threshold Rules
task. Time accumulator threshold rules live in rule groups. These rule groups have no defining criteria, and are configurable so you are able to create rule groups that work most efficiently for your organization.
Field
Definition
Rule Name
Name that applies to the rule. This is different than the Rule Group Name.
Time Accumulator
Select the Time Accumulator you created that you want to rule to reference.
Worker Eligibility
Select the worker eligibility rule or rules do determine which workers are eligible for the threshold rule.
Note:
Selecting eligibility rules here does not assign workers to the threshold rule.
Start Date
Indicate when the rule begins to take effect.
  • Workday recommends that the start day align with the first day of the period.
  • The start day will display as Start Day of Week or Start Day of Month depending on the period.
End Date
Optionally, select a date for the rule to end.
  • If there is no end date defined, the rule will start again once the period is complete.
  • For fixed periods, add an end date.
Unit of Time
Specify the unit of time for the rule to measure:
  • Static Periods: days, weeks, months, or indefinite
  • Rolling Periods: days, weeks, or months
  • Period Schedule: defined in the tenant
Length
  • Threshold limits cannot exceed natural time bounds. For example, 24 hours in a day, 168 hours in a week, or 744 hours in a month.
  • If you select period schedule as the unit of time, you cannot enter length.
Calculation
Options available here are dependent on the selection in the Unit of Time field.
Amount
Specify the amount of time in correlation with the calculation selected.
Standard Week Excludes
Option to exclude certain days or holiday days. This field is only available when you select certain options in the Unit of Time field.
Note
: Standard Day versus Worked Day:
  • Standard Day is a regular day. Workday counts hours with the specified calculation tags on any day except for excluded days. For averages, if you have not excluded any days, Workday will divide by 7.
  • Worked Day is a day with entered time or time off. In the case of average, Workday divides by the number of worked days.
Mass Assign Time Accumulator Threshold Rules
To assign the threshold rules to workers, access the
Mass Assign Time Accumulator Threshold Rules
job. Workers are assigned threshold rules after the job has run, not when you create the rules. Like other mass actions, you have the option to select Run Now or to run the job in the future. On the job, there are a variety of prompts to select from, and you can select as many prompts as you like. These prompts use "and condition logic" meaning Workday is going to identify workers who meet all the criteria selected. Or, use the Workers prompt to assign the threshold rule to specific workers or groups of workers, rather than making selections in the criteria prompts. When you run the job, Workday will display the workers who meet the criteria you selected and you can make adjustments as needed.

: Run the
View Worker's Time Eligibility
report to verify the assignment of time accumulator threshold rules.
Time Accumulator
Reporting
The following reports are available when using time accumulators:
  • All-Time Accumulators
  • All-Time Accumulator Threshold Rules
  • Time Accumulations for Workers
You can also use custom report fields (CRFs) to create time entry validations that alert workers and managers when a worker is approaching their threshold limits.

Time Requests - Requesting Overtime

Time Requests enables workers to request and get approval for overtime before working the overtime hours.
Use case:
  • Workers can submit a request to work overtime to their managers knowing their manager can approve the request for payment before working the hours.
  • Managers can view upcoming and past requests and worked overtime for their direct reports so they can better plan for overtime requirements.
  • Managers can request that workers are available to work overtime in advance of the time required.
If configured, the Time Requests is available for workers from their Time application, search field, or the Time and Leave Related Actions menu. From here, workers have access to any upcoming or past requests along with a status, and the New Request button.
Once submitted, managers receive an Inbox notification for the Time Request where they can approve, send back, or deny the request. Managers can also use the
My Team's Time Requests
report (secured to the Worker Data: Time Tracking domain) to view current and past requests from their direct reports.
Note
: You can create a validation to warn or prevent employees, and alert managers if employees record more overtime than originally requested.
Time Requests use the
Time Request
business process. Time Request report secure to the Self-Service: Time Tracking and Worker Data: Time Tracking domains. A Time Request Code will need to be linked to a time code group for worker eligibility. The following tasks also secure to the Set-up: Time Tracking domain that allows you to create, view, or edit codes that you use when creating an overtime request:
  • Create Time Request Code
  • Delete Time Request Code
  • Edit Time Request Code
  • View Time Request Code

Review Time

The
Review Time
report is a configurable report that allows review and approval of time for multiple workers at once. The report, used as an alternative to the Inbox, is available for managers or timekeepers who belong to the same supervisory organization. It allows managers to view a summary of their team's weekly time or the time for the entire pay period on a single page. It also provides the ability to quickly approve time in bulk. Users can drill into a single worker's time and easily navigate from one employee to the next. Filters on this page help to narrow down employees who fit into certain categories, making for an easier review time experience.
The Review Time summary page displays rows for each of a worker's positions, along with a row and column to highlight any worker who has multiple positions.
When a worker has logged time against other positions, an Other Positions Totals button appears on the details page for that worker for mangers to view the time. Managers can only approve for positions they have security access to.
You can approve the following from the Review Time Summary and Detail pages provided they are in a submitted status and are awaiting approval by the current user:
  • Weekly time entry events that match the week start day or time entry events by Period Schedule if configured on the Create Time Approval Template task.
  • TOTO requests where the time off days are all within the week.
To configure the hours that display on the Review Time report, use the
Create Time Approval Template
or
Edit Time Approval Template
tasks. These tasks are a tenant-level setting that controls the behavior and appearance of the Review Time Summary and Detail pages. You define template eligibility by country, which creates different experiences for your time approvers in different countries who have different time totals they need to review.
On the
Review Project Time
report, project managers can review and bulk-approve time for multiple project workers. This report displays workers based on their role on a project hierarchy, rather than based on their membership in a supervisory organization. The Review Project Time report enables project managers to review time for workers in their projects even though the workers are outside the project manager's supervisory organization.
Configure the report using the
Edit Project Time Approval Settings
task. This is a tenant level setting that controls the behavior and appearance of the Review Time Summary and Details pages. When completing this task, consider the following:
Field
Definition
Review Time by Period
Select to enable approvers to review and approve time for non-weekly period.
Start Day of Week
Determines which seven days to include in the approval period date range. If you selected the Review Time by Period checkbox, Workday will not display this prompt.
Worked Hours Calculation Tags
Select tags that identify worked time. These tags determine which hours display in the Hours to Approve, Hours not submitted, and Hours Approved columns.
Default Workers Filters (optional)
Displays additional search fields on the report.
Summary Page Breakdown Columns (optional)
Add up to eight additional breakdown columns that will display on the report.
Include Warning Indicators
Displays warning icons on the Review Time Summary page so that you can quickly identify and resolve time irregularities and issues.
Include Count of Incomplete Time Entries
A separate column displays with the total number of incomplete time entries for a worker.
Include Scheduled Weekly Hours (optional)
Select to display the worker's scheduled hours from their job profile.
Minimum Time Anomaly Confidence Level
Only available for those using innovation services.
Use this field to control the minimum confidence level that a time anomaly must meet for Workday to display it. You can select from the following options:
  • High = 90-100% anomaly confidence
  • Medium = 80-90% anomaly confidence (medium is the default selection)
  • Low = 50-80% anomaly confidence
For example: if you select Low, Workday displays time blocks that have a Low, Medium, and High anomaly confidence level.

Edit and Approve Time Report

The
Edit and Approve Time
report allows managers, timekeepers, and administrators to review, edit, and approve time within a single report. You can view time entries for selected workers, an entire organization, or your direct reports. Using the report, you can:
  • Add new or edit existing time entries.
  • Review and resolve alerts, errors, and worker time. The report automatically sorts workers into grids for workers with or without alerts.
  • Mass submit and approve time entries for multiple workers.
  • Send back or deny individual time entries.
Note
: For tenants configured with submit or review time by period, you will not be able to approve, submit, send back, or deny time entries using the report. You will only be able to edit and approve time by week or for workers with work schedule calendars with the same start date as the approval template.
The
Edit and Approve Time
report is secured to the Manager: Time Tracking Manger Edit and Approve security domain.

Manually Advancing/Mass Advancing the Enter Time Business Process

The Mass Operations Management (MOM) framework allows Business Process Administrators to mass approve submitted but not yet approved time. A common MOM use case is pushing through time approvals for managers who may be unavailable and have not approved time before payroll processing.
MOM can mass advance up to 50,000 time entry events across multiple time periods all at once. To use MOM, customers must create a custom report to use as a process input. Use the indexed Reporting Data Source called All Time Review Events in these reports. You can configure custom reports built using this data source with filters that use either defined values or prompts. Doing so, the MOM process only mass advances time entry events for the desired worker populations and time periods.
You can schedule MOM to run on a recurring basis. Alternately you can schedule it to run automatically based on lock dates and payroll processing timelines. Running automatically reduces the manual steps needed during payroll processing.
Additionally, MOM provides a detailed report of the mass advanced time entry events.
Note: Only business process administrators can mass advance time using MOM. Grant BP Admins access to:
  • The custom report used as an input to the MOM process, and
  • The Manual Advance initiating action on the Enter Time business process.
An alternative to mass advancing using the MOM framework is the Mass Advance task. Security groups other than the Business Process Administrator can approve time for one or more workers at a time using this task. Secure the user to the Manual Advance initiating action on the Enter Time business process to use the Mass Advance task. The user can only mass advance time for workers within the user's span of control.
There are limitations to using the Mass Advance task, so Workday recommends using the MOM Framework when possible. With Mass Advance, you have a limit of 5000 events. And, you may experience reduced performance above 500 events. Additionally,
  • Mass Advance does not allow advanced scheduling.
  • Mass Advance does not provide good reporting on what workers had time mass advanced.
  • Mass Advance only allows customers to filter on time entry events for multiple workers eligible for a single time period for that time period only. Or filter on a single worker across multiple time periods.
  • Mass Advance does not allow mass approval of prior period adjustments for multiple workers like the MOM task can.

Adjusting Calculated Time

If an existing calculation type does not meet a business requirement or if there are exceptions for particular workers, you can adjust calculated time on behalf of workers. After adjusting calculated time, Workday will no longer run calculations or create any additional calculated time for the adjusted week, so, use this task sparingly. You cannot adjust time off using the
Adjust Calculated Time
task. To correct time off, use the
Correct Time Off
business process.
Note
:
  • A worker cannot adjust their own calculated time.
  • You can submit adjustments at any time. Be aware that submitting adjusted calculated time automatically routes the time for approval, even for unsubmitted or previously approved time.
  • To adjust a quantity to zero, you must enter 0 and not delete the existing quantity.
If you make a change using the
Adjust Calculated Time
task, you must select the Confirm Calculated Time Adjustments box for the change to take effect. The adjustment relaunches the
Enter Time
business process.
Explore changes to a time block, including who made the change, by viewing the Process History tab of the time block details. There is a delivered CRF that will show all adjusted time blocks.
Note
: Only use this task to adjust calculated time if it is not calculating correctly because of a specific scenario that does not meet the general rule. If there is a need to make changes to things such as time type, for example, make that change directly through the time entry calendar.

Run Time Calculations for a Date Range

You can use the
Run Time Calculations for a Date Range
task if multiple workers need to have time recalculated. Run calculations for a group of workers based on a specific date range (up to a maximum of three months). When running the task, you must select individual workers, although it is possible to search on specific organizations to choose the workers.
This task is useful to handle retroactive configuration or HR changes. For example:
  • If you need to change a union rule that requires application retroactively.
  • If you need to create a new time tracking calculation, you can use this task to apply the new calculation to time previously entered, calculated, submitted, or approved.
  • If you need to apply a large HR change to a group of workers retroactively making them eligible for a certain time calculation. You can use this process to recalculate their time after entering the retroactive HR change.
First enable the
Process: Run Time Calculations for a Date Range
domain security policy for a user's security group for them to use this process. Users can only recalculate time for workers within the user's span of control.
When running this process:
  • The chosen date range can span up to three months.
  • If the start or end dates fall within the middle of a time week, Workday will recalculate the entire week.
  • Workday will
    recalculate weeks falling within unopened, locked, or closed periods.

Time and Scheduling Hub

The Time and Scheduling Hub is a report for managers to quickly access time management tasks and reports in one location.
The hub does require configuration. To use the Time and Scheduling Hub:
First, access the

  1. Select the Manager: Time and Scheduling Manager Hub domain.
  2. Select the Edit Permissions button and add the necessary Security Groups and permissions for groups you wish to access the hub.
Then, access the
Domain Security Policies for Functional Area
task and select
System
.
  1. Select the Set Up: Tenant Setup - Hub domain.
  2. Select the Edit Permissions button and add the necessary Security Groups and permissions for groups you wish to edit the hub.
Access the
Maintain Hubs
task.
  1. In the
    Time and Scheduling Hub
    row, select the
    Configure
    button.
  2. From the
    Configure Hub by Admin tab,
    select the
    Content
    button.
  3. Then select the
    Customize Sections
    and Cards option.
  4. Here you can add customization to the hub by adding or removing rows and sections, rearranging cards, and changing section titles.
Finally, as a manager with permission, search for the
Time and Scheduling Hub report
to view and take action on the information provided in the selected sections and cards. Other tabs such as Review and Approve Time, Operational Analytics, and Time Absence Calendar, may display on the hub based on user security permissions.

Time Block Web Services

Importing Reported Time Blocks
Import Reported Time Blocks web service enables you to use an EIB to import time blocks from a spreadsheet or other third-party tool into Time Tracking for calculations, manager approvals, and payment.
Consider using the web service to:
  • Import time blocks that workers did not enter through self-service time entry.
  • Load a batch of time blocks in bulk, such as holiday time blocks.
  • Import large batches of time blocks for testing purposes.
  • Edit and delete time blocks in mass.
  • Approve or rescind the imported time blocks using the
    Reported Time Batch Event
    business process.
  • Use imported time blocks in calculations, route them to managers for approval, and pass to the Payroll for payment.
Time Tracking Hub
Customers can import calculated time blocks via this web service if they choose to maintain their legacy time tracking system and keep time tracking calculations there. Workday refers to this option as the Time Tracking Hub.
Time Tracking Hub is its own functional area in the Domain Security Policies. Do not enable Time Tracking or Time Tracking Calculations if using Time Tracking Hub. Time Tracking Hub uses the Import Time Block web service as its time entry method into Workday. If a customer is using Time Tracking Hub and the Import Time Block web service, Workday does not calculate any time blocks. Instead, it receives calculated time blocks from a third-party system. Time Tracking Hub:
  • Enables the ability to import time blocks from third-party systems into Workday. Then, use the reporting capabilities of Time Tracking to gain insight into time data.
  • Does not include the ability to enter time or run time calculations.
  • Integrates with other Workday products like Workday Payroll or Workday Financial Management.

Importing a batch of reported time blocks launches the Report Time Batch Event business process. Update the business process security policy so that relevant workers can approve or rescind the time blocks before Workday processes and creates time blocks. If approval steps conflict with the requirements of your organization, then add a business process condition for external load so that Workday automatically processes the time blocks.
Workday treats approved time blocks identically to reported time blocks created directly in Workday.
  • The time blocks display on the worker's time entry calendar in a Not Submitted status.
  • The imported time blocks are subject to the same calculations and validation as time blocks entered directly in Workday.
  • Workers can make corrections and submit the time blocks for manager approval.
Rescinding Batches
You can rescind a Reported Time Batch event business process event to a batch of time blocks you imported. To rescind an event, navigate to the Related Actions menu of the event and select Business Process > Rescind, or use the Mass Rescind Business Process task.
When you rescind, Workday removes all time blocks that you imported in the batch event. However, rescinding a batch will not back out changes you made by editing or deleting time blocks. To restore those blocks, you must run another import with the correct time block information.
Overlapping Time Blocks
When you import time blocks that overlap with existing time blocks, you must resolve the overlapping time blocks once they are in Workday. Correct the time blocks on the timesheet before submitting time.
Get Calculated Time Blocks
The Get Calculated Time Blocks web service exports calculated time blocks rather than reported time blocks. Workday generates these time blocks when you run time calculations on the time blocks that workers report. Consider using this web service to compare scheduled hours to worked hours, forecast schedules based on historical time data, and pass time blocks to payroll for processing.
There are five steps to set up Enterprise Interface Builders (EIBs) from templates using web service operations:
1. Set Up Inbound EIB Integration
Access the
Create EIB
task and follow the instructions to establish the inbound integration settings.
2. Generate a Spreadsheet Template
You can generate a spreadsheet template from the Related Actions on the integration that you create.
3. If Necessary, Modify the Template
You may need to modify the spreadsheet template before you can populate it with your data. Use caution when modifying templates. Some changes can cause integrations to fail.

4. Prepare the EIB Spreadsheet
Prepare the spreadsheet by populating it with the data you need to import.

5. Launch the Spreadsheet Upload
When the spreadsheet is ready for loading into Workday, use the
Launch / Schedule Integration
task to import the data. This task supports integrations built with the Enterprise Interface Builder (EIB) and most integrations in the Workday Integration Network.

Scheduled Distributions in Time Tracking

Use the Scheduled Distribution Framework to create and send notifications to groups of employees with unsubmitted time and to managers who have unapproved time for their team.
The Create Scheduled Distribution Task allows you to create and send notifications to the groups you select.
Workday recommends creating a custom report by copying the
Workers with Unapproved Time Review Events
report or the
Workers with Unsubmitted Time
report. Then use that custom report in the Selection field when creating your scheduled distribution. Once you populate the Selection field, define the Report Criteria to fit the population you wish to notify. You will then select a notification type, enter a personalized notification message, select a distribution frequency, and finally schedule the notification.

Attendance Management

You can define attendance alerts for your organization that use a points system to encourage attendance. Workday will display attendance alerts on the Edit and Approve Time report.
During configuration, you will create: attendance statuses, attendance points configuration, attendance justification reasons, attendance rule sets, and attendance rule eligibility. When configuring attendance rule sets, consider the following:

Ensure that the attendance rule set is active on or after the date you are testing.
Order
Workday runs rules in order of priority. Workday only applies 1 attendance status per check-in or check out.
Attendance Status
Use attendance statuses you created, or create a new one.
Time Punch Type
This field will automatically populate depending on other selections made on the task.
Minutes
Enter the number of minutes before or after a shift event when Workday should apply the status to the time block.
Relational Operator
Options here are either Less Than or Greater Than.
Shift Event
From the worker's work schedule or Workday Scheduling (depending on your organizations configuration). Workday evaluates the attendance status by factoring in meal breaks and does not disregard scheduled meals in the middle of shifts.
Additionally, you can give managers the ability to justify attendance infractions or override points when needed by configuring the following security domains:
  • Maintain: Adjust Attendance Points for Workers.
  • Worker Data: Justify Time Attendance Status.
  • Worker Data: Mass Justify Time Attendance Status.
