Reporting and Spend Analytics
Overview
Workday provides many options to help you gain insight and manage your daily procure to pay operations.
Objectives
By the end of this chapter you should be able to:
- Find related procurement and supplier accounts reports.
- Create and migrate custom reports to your tenant.
Workday Standard Reports
You can use the
Workday Standard Reports
report to review Workday-delivered reports. When you run this report, it asks you to select the category whose reports you want to list. You can select as many categories as you want.Security Note
: The report shows all standard reports and all categories, even if you do not have security permissions to access the menu category or the report. You need access to the Custom Report Administration security domain to run the
Workday Standard Reports
report. The table below describes the columns in the report.
Column | Description |
|---|---|
Category | The category for the standard report. |
Report | Related Actions you can take on the standard report. |
Name | Name of the standard report. |
Description | Description of what displays on the report. |
Type | The type of report, i.e., XpressO or Report Writer. Create XpressO reports using a proprietary programming tool that provides special capabilities for building reports. You cannot copy and then modify these reports using the Report Writer tool. |
Schedulable | Indicates whether you can schedule a report. |
Domain | Shows the name of the secured domain in which the report resides. Users must have access to one of the security domains to run the report. |
There are two ways to copy a standard report:
- From the Related Actions, you can selectStandard Report>Copy.
- Access theCopy Standard Report to Custom Reporttask.
Tip
: You can only copy Report Writer reports, not XpressO reports.Security Note
: By default, Workday does not share a custom report with other users. Only the owner can review and run the report. You need access to the Custom Report Creation security domain to copy a standard report and create a custom report.
You can use the
All Custom Reports
report to view all custom reports in the tenant. You can use these custom reports as a starting point for new custom reports. The
Hide Workday Delivered Report
task makes standard reports no longer searchable. This action eliminates confusion with your users when you create a custom report that should run instead of the Workday-delivered report. When you hide a standard report, it is no longer available in search results, in menus, or as a Related Action.
Someone at the central organization level typically performs the process of hiding standard reports. This person needs to understand the full impact of this change across the entire organization.
Important
: When moving reports from Sandbox to Production, Workday does not move the hidden report settings. You will need to use the Hide Workday Delivered Report
task in Production to hide any reports that you have hidden in Sandbox.Dashboards
Discovery boards are an ad hoc reporting and analysis tool in Workday. Use these boards to create and distribute traditional analytic dashboards. Discovery boards provide you with three unique benefits:
- Agility: Quickly pivot and stay ahead of the curve. Perform ad hoc reporting and analysis in real time on live Workday transactions.
- Insight: Answer operational questions with an intuitive drag and drop UI. Access details and dimensionality directly from the system of record.
- Collaboration: Enables teams to combine efforts and share insights with edit or view-only access, governed by a single security model.
Workday delivers the following discovery boards that you can copy and adjust to your business needs:
- Accounts Payable
- Spend - Buyer Manager Insights
- Spend Actuals
- Supplier Diversity
Composite View Reports
Some Workday pages allow you to configure contextual related custom reports directly on the supplier or purchase item page. For example, the supplier composite view (View Supplier) and the purchase item composite view (View Purchase Item).
These reports can make the composite view profile of an item or supplier more comprehensive and actionable. You can use the
Configure Profile Group
task to configure which reports display on the composite view.WDSetup
WDSetup is a foundry tenant that houses factory default data. A foundry tenant is a Workday-owned tenant that contains factory default data that we use to build the customer foundation tenants. It also serves as the data source for the Configuration Catalog.
Workday stores preconfigured content in the Configuration Catalog that you can migrate into your deployment or Sandbox tenant at no extra cost from Customer Central. You have various content to choose from to help you make the most of your Workday subscription, including integrations, reports, and setup data. Learn more about the content in the Configuration Catalog and review WDSetup Preconfigured Content on Workday Community.
