Concept: Setting Employees Inactive

The

Survey Inclusion checkbox

controls whether an employee is included in surveys targeted to active employees.

Select the checkbox to include the employee in surveys.

Clear the checkbox to exclude them. Example: When an employee goes on long-term leave.

Employees who are excluded with this checkbox can still sign in to Peakon and access their personal or manager dashboards.

To exclude a larger group of employees, we recommend managing this through survey targeting rather than clearing the checkbox for each employee.

If an employee has left the organization, add a Termination Date, so Peakon treats them as an exited employee. You can still survey exited employees by scheduling surveys with the Left schedule type. The survey inclusion option will not change after a termination date is set in the past.

Impacted Area	Considerations
Historical survey data	Clearing the survey inclusion checkbox doesn’t remove an employee’s past answers from aggregated scores. If an employee was included when a survey round opened, their answers remain part of that round even if you later clear the checkbox. Their old answers remain visible on dashboards until they fall outside the visibility period. Once you set a past Termination Date, the survey inclusion value does not change automatically. If the checkbox was selected when they were an active employee, it remains selected as a leaver. If it was cleared as an active employee, it remains cleared as a leaver.
Employee license limit	Employees with the survey inclusion checkbox selected count toward your company’s employee license limit. They can still sign in to their personal and manager dashboards regardless of the checkbox status.
Survey and reminder emails	Employees excluded via the checkbox don’t receive survey or reminder emails. If you clear the checkbox during a live round, any survey links already sent to the employee become inactive.
Manager digest, low participation, and upcoming survey emails	Employees who are managers continue receiving these emails, even if their survey inclusion checkbox is cleared.
Dashboard sign in access	Employees with access to a personal or manager dashboard can continue to sign in, regardless of their survey inclusion status.
Participation rate	If you clear the checkbox during a live round, the employee still counts toward that round’s participation rate. They aren’t included in participation for future rounds unless you re-enable the checkbox.
Shared dashboard recipient list	Employees excluded via the checkbox won’t receive shared dashboard emails. They can still access the dashboard if you share the link outside of Peakon.
