HiredScore Embedded Fetch for Talent Rediscovery and Suggested Workers

Workday improves talent rediscovery with Embedded Fetch, an AI-driven tool delivered directly within Workday. Embedded fetch proactively enables recruiting professionals to discover and manage leads that best fit open roles across their system. Internal fetch enables recruiters to manage internal leads. Embedded Fetch is powered by Hirescore’s AI algorithm and recruiters can access it from the Workday job requisition.

Changes
We deliver Embedded Fetch and Embedded Internal Fetch (secured to the
Candidate Data: HiredScore Fetch
domain), which works seamlessly within the Workday job requisition. Recruiters can source leads from across their system, and manage and engage them from the job requisition.
They can take action on up to 15 leads at a time. We provide these report fields on the HiredScore Mass Action Status business object (secured to the
Candidate Reporting
domain), which require access to the job requisition associated with the Fetch status:
  • Mass Action Task Name for Fetch.
  • Fetch Candidates - Valid internal and external candidates for the Fetch status.
  • Job Requisition for Fetch.
  • Fetch Tab - The tab from which the mass action is launched. Values: Fetch, Internal, or Dynamic Fetch.
  • Fetch Task Completed.
  • Job Applications Through Fetch - The job applications that a mass action task converts.
We deliver the new report field, Fetch Mass Action Statuses for Job Application on the Job Application business object (secured to the
Candidate Reporting
domain). It returns the status for a converted job application from at least one Fetch mass action.

Embedded will be able to uncover these types of leads:

  • Upwardly Global Leads (US Data server). Connecting to External Pools requires explicit client consent and agreement in place with External Pool provider (Randstad / Upwardly Global).

Deployment Considerations
Considerations:
  • Diversity Blueprint isn't supported in Embedded Fetch.
  • Embedded Fetch is supported in Production environments only.
  • Users can only authenticate with SSO. The IDP (SSO Provider) must be the same between Workday and HiredScore.
What Do I Need to Do?
Prerequisites:
  • Embedded Fetch requires HiredScore AI for Recruiting (AIRC) SKU.
  • Embedded Internal Fetch requires HiredScore AI for Talent Mobility (AITM) SKU and Talent Optimization SKU.
Recruiters require:
  • An active HiredScore license.
  • Access to the Job Requisition (assigned or associated with the job requisition. Example: Primary Recruiter).
Security:
Required Domain: Candidate Data: HiredScore Fetch domain to use Embedded Fetch.
Optional Domains:
  • Candidate Communication - for Send Message and Invite to Apply.
  • Candidate Pool: Manage Membership - for Add to Pool.
  • Candidate Data: Sharing - for Share with Colleague and Share with Hiring Manager. To enable recruiters and hiring managers to receive leads, add their roles to the Prospect Domain.
  • Candidate Data: HiredScore Fetch - for Contact Worker’s Manager.
Optional:
  • Candidate Engagement SKU to include leads in Recruiting campaign audiences through Candidate Pools.
  • Workday Messaging SKU for SMS in Send Message and Invite to Apply tasks.
Steps:
  • Implement and configure Fetch and Internal Fetch with the HiredScore standard delivery process.
  • Configure this Workday domain: Candidate Data: HiredScore Fetch.
  • Update these security domains for supporting actions:
    • Candidate Communication - for Send Message and Invite to Apply.
    • Candidate Pool: Manage Membership - for Add to Pool.
    • Candidate Data: Sharing - for Share with Colleague and Share with Hiring Manager. To enable recruiters and hiring managers to receive leads, add their roles to the Prospect domain.
    • Candidate Data: HiredScore Fetch - for contact worker’s manager.
  • Configure message and notification templates for the Send Message and Invite to Apply tasks using the Workday notification framework.
    Receiving these messages requires the candidates to opt-in to email messaging, if they have not already done so. We suggest using the Confirmed Opt-In Email Status report fields and sending a message in advance to ensure that candidates receive these messages.
What Happens if I do Nothing?
The Job Requisition experience remains the same.
Fetch in the native HiredScore user experience remains the same.

Self Service Configuration Task for HiredScore Fetch

With this release, we deliver a self-service configuration task, enabling the implementers to update and configure HiredScore Fetch parameters directly from within Workday.
You must have purchased the HiredScore AI for Recruiting (AIRC) SKU to uptake this functionality.

We deliver the new HiredScore Tenant Setup - Fetch task (secured to the
Set Up: HiredScore Tenant Setup - Recruiting
domain), enabling implementers to update and configure HiredScore Fetch parameters from within Workday.
You can use the task to:
  • Configure when HiredScore Fetch should run. Example: When a job requisition is Open, Approved, Posted Internally, or Posted Externally.
    Note: The 'Approved' trigger may not be relevant for all, we recommend that if selected, it should be combined with other run triggers.
  • Set the maximum distance from a job posting location to get leads. Example: Only surface leads that are located within 50 kilometers from Paris, France.
  • Specify which leads to exclude when HiredScore Fetch runs or based on the Disposition steps in your business process. Example: Those previously excluded for failed background check.
  • Exclude leads from Fetch whose last application date exceeds a specified number of years.
  • Exclude candidates who are Active on other job requisitions.
