E-Signature Integration for Contract Lifecycle Management

Workday enhances the e-signature experience to create a more robust and advanced connection between Contract Lifecycle Management (CLM) and third-party e-signature providers (DocuSign, Adobe Sign).
Business Benefits
This enhancement provides several benefits for signing coordinators:
  • Data integrity
    : You no longer need to leave CLM to check signer data and envelope status. This ensures a single source of truth, making the e-signature process highly reliable for audit trails.
  • Increased productivity and faster execution
    : We provide a seamless, intuitive, and highly stable e-signature experience, leading to streamlined workflows and quicker executed contracts.
  • Improved error resolution
    : We introduce clear error handling, enabling you to self-serve and resolve integration issues quickly, minimizing operational downtime.
Changes
Envelope access and voidance:
  • We add a
    View on E-sign Platform
    button on the Ticket details page. This option appears after the envelope is created and allows you to directly view the envelope information in the e-signature platform.
  • We rename the
    Collect Signatures
    button to
    Send to E-signature
    for clarity when initiating an e-signature request.
  • Ticket deletion in CLM will now automatically void the corresponding e-signature envelope if it hasn’t been signed yet.
Recipient management:
  • Signing coordinators can now directly add, remove, update, reorder signers, and customize envelope details, such as email subject, body, and CCs, within the e-signature platform.
  • We remove the
    Edit CC
    and
    Add CC
    buttons from CLM since they are no longer needed.
Status:
  • The Ticket details page now displays the e-signature provider's
    Signer
    and
    Envelope status
    for all recipients, including those added externally. As part of this change, we remove the
    Check Signature Status
    button.
Audit trail:
  • We add the signer’s audit trail directly to CLM, eliminating the need to navigate to the external e-sign platform to track progress. Authorized users can navigate to the
    Activity Logs
    to view the complete audit trail. This includes detailed actions by the signers, such as who viewed the document and the exact time the document was signed.
Notifications:
  • We introduce a new notification to inform the signing coordinator when any signer declines to sign the document.
  • We remove the
    You were assigned a Signer
    e-mail notification that was sent out to internal signers from CLM, as they now receive a notification from the e-signature provider
Connection status:
  • The
    Integrations page
    now clearly shows the connection status for each e-signature provider, along with a validation error and detailed error message if a connection fails.
  • If the connection fails, Workday also shows a banner on the
    Workflow
    ,
    Tickets
    tab and on the
    Ticket details page
    to alert users before they attempt to initiate e-signature. We also send an email on the impacted tickets and the recommended action to take.
