Concept: BP Optimize Agent

The BP Optimize Agent is an AI-powered assistant that helps you improve the efficiency, effectiveness, and overall performance of your business processes within Workday. The agent analyzes your current processes, identifies areas for improvement, and provides actionable recommendations with step-by-step guidance.
The BP Optimize Agent uses:
  • The execution details of configured business processes and their corresponding steps to analyze execution times and identify anomalous patterns.
  • Tenant-specific execution data to generate aggregated averages for benchmarking.
  • Proprietary system data to determine benchmark groups and data.
To avoid skewing metrics, the BP Optimize Agent excludes data from:
  • EIBs
  • Web services
  • Integration loads
  • Transactions that immediately completed (duration = 0)
The agent considers only actual business process transactions that occur within the Workday application.

Process Improvement Skill

The BP Optimize Agent provides the Process Improvement skill, which enables Workday administrators to:
  • Gain deep insights into business processes, locate bottlenecks, and identify root causes.
  • Compare business process performance against benchmarks across industries, regions, and company sizes.
  • Get tailored and actionable optimization recommendations specific to their unique business process usage and configuration.

Security Considerations

BP Optimize Agent users must have
Modify
permissions on the
Business Process Administration
or
BP Optimize Agent
security domains in the System functional area.
The BP Optimize Agent displays Personally Identifiable Information (PII) data only when displaying the
Created By
and
Last Modified By
users. This information is visible from the
BP Optimize Agent
dashboard and the
Overview
section of the
Trends and Anomalies
page when you:
  • Click a business process on the bar chart or line chart view.
  • Click
    Inspect
    on the business process modal view.
Each company's individual benchmarking data can't be identified by other Workday customers. Workday only generates benchmark data when a minimum number of customers meet the defined criteria, specifically to prevent the identification of any single customer.

Agent Deactivation and Data Purge

To help you manage your data securely, Workday handles your data during deactivation and reactivation based on these rules:
  • Automatic Data Purge: If you deactivate the agent or the Process Improvement skill, Workday automatically deletes your tenanted data, agent configurations, and recommendations 21 days after deactivation.
  • Reactivation Within 21 Days: When you reactivate the agent before the 21-day threshold, Workday restores your previous settings and automatically analyzes data for any missed periods. This analysis might consume Flex Credits if it includes new data generated while the agent was inactive.
  • Reactivation After 21 Days: When you reactivate the agent after the 21-day threshold, your previous data is permanently deleted. You must configure the agent again as a new setup, which consumes Flex Credits.
To avoid consuming additional Flex Credits to reconfigure the agent and reanalyze data that your organization previously processed, we recommend adjusting your product line scope to keep the agent active instead of deactivating it.

Limitations

  • Trend insights: Limit insights to events that initiate and complete within the selected time period. The agent excludes events that start in one period but complete in a subsequent period.
  • Benchmarking insights: Generate only when the minimum required industry peer cohort has enough transactions for that business process in the same time period.
  • Event statuses: Consider only completed events with a status of Successfully Completed, Rescinded, Canceled, or Process Terminated. The agent excludes in-progress events.
  • Tenant eligibility: Requires your tenant to be in the US, EU or limited UK-based regions and average fewer than 2 million transactions per month. The agent is not available to customers with UK-based tenants that are subject to strict data processing requirements that prevent Workday from processing customer data outside of the UK.
  • Language support: Currently limited to English.
