Concept: Course Smart Lists

Course smart lists enable you to group courses based on their common properties into a list when creating academic requirements and policies. You can create smart lists in curriculum management and use them throughout Workday Student to dynamically categorize courses based on criteria you set.

You can use smart lists to:

Apply eligibility rules to a large number of courses.

Define undergraduate and graduate courses.

Exclude courses that you don't want evaluated in a student's satisfactory academic progress (SAP).

Group courses by tags such as athletes and veterans.

Identify academic, major, or graduation requirements.

Include or exclude courses from GPA calculations.

When you create a smart list, Workday automatically populates it with matching courses and updates them as you change course attributes, improving data accuracy across Workday Student.

Your access to view smart lists may be constrained by your institution to ensure data consistency and security. If you are a constrained user, you will only be able to view smart lists associated with your assigned institution.

Uses by Functional Area

Functional Area	Description
Academic Foundation	You can use smart lists to select a large number of courses easily when you create Course Requirement and Unit Requirement eligibility rules. When configuring smart lists for eligibility rules, we recommend not including courses from course equivalency groups that have an equivalency usage of enrollment requisite. Instead, add them as individual courses to prevent students from incorrectly meeting eligibility rule requirements.
Academic Records	You can use smart lists to exclude certain courses when calculating GPA policies.
Academic Advising	You can use smart lists to identify which courses students must take to complete their programs of study at your institution.
Financial Aid	Students must meet certain SAP requirements in order to receive financial aid. You can use smart lists to exclude courses from a student's SAP.

Limitations

Workday doesn't currently support:

Future-dated courses. Workday doesn't automatically pull future-dated courses into the appropriate smart list when that date becomes the current academic period. To include these courses, access the

task and resubmit the smart list.

Alphanumeric ranges such as MATH101A-MATH101C. To include everything within a range, specify them individually. Example: MATH101A, MATH101B, MATH101C.

Nested smart lists. You can’t exclude a smart list that is already excluding another smart list. Example: You exclude the Honors Art Courses smart list from the All Art Courses smart list. No other smart lists can exclude the All Art Courses smart list.
