Concept: Optional Worktag Balancing on Student Transaction Journals

When your tenant uses optional balancing worktags, student journals balance those worktags in addition to company and any required balancing worktags. Workday assigns the optional balancing worktags to both sides of a journal so that the journal balances and posts.

Optional Balancing Worktag Sources

Workday derives the optional balancing worktags on a student journal from:
  • The student transaction, such as a student charge, student waiver item, student award item, or student sponsor contract.
  • The
    Default Optional Worktags for Unapplied Student Payments
    prompt on the
    Maintain Worktag Balancing Configuration
    task, when you configure it, for amounts you haven't applied to a charge or contract.
  • The cash balancing rule, for the interworktag journal lines that balance cash across worktags.
Workday doesn't assign an optional balancing worktag to a journal line when the transaction doesn't carry one. Define default values on your student charge items, waiver items, award items, and sponsor contracts so that both sides of the journal carry the same optional balancing worktag.

Unapplied Amounts Handling

Student payments, sponsor payments, waivers, and disbursements can sit unapplied or on account before you apply them. These amounts don't inherit worktags from a charge, so Workday assigns the default optional balancing worktags for student unapplied payments to:
  • Journal lines for unapplied and on account amounts.
  • The cash entries for those amounts.

Applied Amounts Handling

When you apply an amount to a student charge, Workday moves the balance from the default optional balancing worktag to the worktags on the charge. The journal lines that reverse the on account amount keep the default optional balancing worktags. The journal lines for the application carry the worktags from the charge.
When you apply a student sponsor payment to a sponsor invoice, the application journal lines carry the worktags from the student sponsor contract.

Cash and Interworktag Lines

When a cash balancing rule maps a bank account to a primary balancing worktag, Workday generates interworktag journal lines to balance the accounting across worktags. These lines carry the optional balancing worktags from the cash transaction along with the primary balancing worktag, which keeps the journal balanced by both.

Reversals Logic

Reversals follow the state of the amount at the time you reverse it. Workday assigns the default optional balancing worktags for student unapplied payments to journal lines that return an amount to on account, and to their interworktag lines. This applies when you:
  • Unapply or partially reapply a payment.
  • Cancel a deposit.
  • Return a payment.
  • Refund a credit balance, and return or escheat that refund payment.
