Example: Create EIB for Charge Due Dates
This example illustrates how to use an inbound EIB to generate a spreadsheet template for an import operation.
As a student financials administrator at your university, you want to update due dates for certain student charges. Because there are many changes to make, you want to complete this task with a single batch update instead of having to make separate updates throughout Workday. You also want to be able to reuse the EIB for future updates to charge due dates.
To update student charge due dates, you:
- Generate the EIB template.
- Add charge due date information from integration reference IDs.
- Attach the spreadsheet to the integration system to update the records.
- Ensure that these settings are enabled for theImport Charges for Studentsweb service:
- Public Web Service OperationisTrue.
- Allowed for Inbound Enterprise Interface BuilderisTrue.
- Security:Integration Builddomain in the Integration functional area
- Create the EIB:
- Access theCreate EIBtask.
- On the task pop-up, complete these fields and clickOK.FieldValue or OptionNameUpdating Due Dates EIBInboundSelected
- On theGeneral Settingspage, clickNextto display theGet Datapage.
- In theData Formatsection, enterImport Charges for Students (WS Background Process)in theWeb Service Operationprompt.
- ClickNextto display theTransformpage.
- ClickNextto display theDeliverpage.
- ClickNextto display theReview and Submitpage.
- ClickOKto create the EIB. TheView Integration Systempage displays.
- Generate the EIB template:
- From the related actions menu of theUpdating Due Dates EIB, select .
- On theGenerate with Datatask, select theConfirmcheck box and clickSubmit.
- On theView Background Processreport, clickRefreshto see the completion status. When a download notification displays, click theImport_Charges_for_Studentshyperlink to download the Excel file.
- Open the Excel file. If necessary, clickEnable Editingfor editing access.
- Populate the EIB template:
- In theSpreadsheet Keycolumn, enter1in the row for the first charge. Keep this number the same for each row you add.
- In theIDcolumn, enter1for the first charge. Increment this number for each charge that you add as a child object under theSpreadsheet Keycolumn parent object.
- In your tenant, search for and select a student’s name to view their profile.
- From the student’s Student Financials profile group, select theAccount Transactionsreport.
- From the related actions menu of a charge, select .
- On theIntegration IDspage, select and copy the ID value of theStudent_Charge_IDrow.
- In your Excel file, paste the ID value in theIDcolumn.
- In theAdjust Student Charge Data (All)section of the spreadsheet, enter these values:FieldValueAmountThe amount posted to the student accountDue DateA future date in MM/DD/YYYY formatStudent Charge Adjustment ReasonDUE_DATE_CHANGELockedYorN
- Save and close your Excel file.
- Launch the EIB:
- Access theLaunch / Schedule Integrationtask.
- On the task pop-up, enter these values and clickOK.FieldValueIntegrationUpdating Due DatesRun FrequencyRun Now
- In the(Attachment) Import Charges for Students (WS Background Process)row, selectCreate Integration Attachmentunder theValuecolumn.
- On theCreate Integration Attachmenttask, add your Excel file in theAttachmentsection and clickOK.
- On theSchedule an Integrationtask, clickOKto start the integration.
- On theView Background Processpage, clickRefreshuntil thePercent Completefield is 100% or theStatusisCompleted.
- In theIntegration Processsection, verify that theResponse MessageisSUCCESS : All records loaded successfully!!
Workday updates the due dates for the specified student charges.
Run the
Find Student Charges
report or create a custom report to verify that the expected charge due dates loaded.
