Steps: Set Up Student Privacy and Directory Information

You can configure the public student directory for your institution so that students can view the public profile information of other students in the institution. Based on the policies of your institution, you can also enable students to manage their directory information.
  1. Edit Domain Security Policies.
    Configure these domains in the Student Core functional area:
    • Manage: Student Privacy
    • Self-Service: Student Directory
    • Set Up: Student Directory Information
    • Student Data: Public Student Reports
  2. Enable students to manage their own privacy settings, such as selecting the information that they want to display on their profiles that appear in the
    Public Student Directory
    report.
    You can prompt students to manage their privacy settings during onboarding by adding the
    Manage My Privacy Settings
    step to these business processes:
    • Continuing Student Registration Onboarding Event
      .
    • Student Onboarding Event
      .
    You can also enable students to access the
    Manage My Privacy Settings
    task by configuring the
    Self-Service: Student Directory
    domain.
  3. Access the
    Manage Privacy Settings for Student
    task.
    You can manage privacy settings on behalf of the selected students.
    Students can override the privacy settings you configure for them. Workday displays the most recent version of their privacy settings on the students' directory profiles.
    Security:
    Manage: Student Privacy
    domain in the Student Core functional area.
  4. Access the
    Configure Student Privacy Description
    task.
    Add the policy for student privacy and the student directory at your institution.
    Security:
    Set Up: Student Directory Information
    domain in the Student Core functional area.
  5. Access the
    Configure Directory Information for Institution
    task.
    Select the directory information to display for all students in the institution.
    Security:
    Set Up: Student Directory Information
    domain in the Student Core functional area.
  6. Access the
    Configure Profile Summary
    task.
    Select
    Student
    in the
    Profile
    prompt.
    Add a
    Directory Information
    card to students' profile summaries.
    Students can now view the directory information of other students.
    Security:
    Set Up: System
    domain in the System functional area.
Run the
Public Student Directory
report to verify that:
  • The directory includes students that you elect or who elect themselves.
  • Filters display the institutional fields and directory fields that you or the student select on the Directory Information card on the student profile.
