Concept: COD Counseling and MPN Import Records

When you load Counseling or Master Promissory Note (MPN) import records into Workday through the
COD Counseling Inbound
 or
COD MPN Inbound
 integrations, Workday uses this information on the import records to find matching students:
  • Date of Birth (DOB).
  • Social Security Number (SSN).
If the DOB and SSN on the student's Institutional Student Information Record (ISIR) matches the DOB and SSN on the import record, Workday matches them. Some import records might load with errors or other issues that result in them not matching any students in Workday. You can view and maintain these import records through either of these reports:
  • Find COD Counseling Import Records
  • Find COD MPN Import Records
These reports enable you to:
  • Identify import records with errors or no student matches.
  • Reprocess import records.
  • Remove import records.

Reprocessing Import Records

When you reprocess an import record, Workday attempts to match the import record you select to a student again. When the import record matches to a student, Workday removes it from the report and automatically completes any relevant action items assigned to them. If the import record still doesn't match a student after reprocessing, Workday keeps it on the report.

Removing Import Records

You can remove import records from the
Find COD Counseling Import Records
 or
Find Cod MPN Import Records
 report so that they no longer display. Once you remove an import record from the report, you can no longer match it to any student.

Matching Import Records to Students

If an import record still doesn't match to any student after reprocessing, you can manually match it to a student. From the related actions menu of the import record, select
Import Record
Match Import Record to Student
. After selecting a student to match to an import record manually:
  • Workday automatically completes any relevant action items assigned to the student.
  • You can't unmatch the COD Counseling import record from the student.
  • You can unmatch the COD MPN import record from the student using the
    Remove MPN Certification
     task. However, once removed, you can't associate the MPN with another student.
