Concept: COD Processing and Reporting
COD Processing
You must send these awards to Common Origination and Disbursement (COD) for processing and acceptance before you can disburse them to students:
- Federal Direct Loans
- Pell Grants
- PLUS Loans
- TEACH Grants
Workday uses the
COD Origination Status
of an award to drive the processing of these awards. The COD Origination Status
determines when Workday:
- Includes the award in your transmission to COD when you launch theCOD Outboundintegration.
- Disburses the award to the student.
Workday automatically sets the
COD Origination Status
of the award to Ready to Transmit
when an award meets either of these conditions:
- The award isn't originated, but is accepted by the student for an amount greater than zero.
- The award is already originated, but hasn't disbursed and is accepted by the student for an amount greater than what they originally accepted. If an award has already been disbursed, theCOD Origination Statuswon't change toReady to Transmitsince the increased accepted amount is transmitted with the disbursement adjustment.
When you launch the
COD Outbound
integration, Workday includes the award in your transmission to COD. If the award doesn't meet either condition but you want to include it in your transmission to COD, change:
- The transmission eligibility of the award by selecting on its related actions menu
- TheCOD Origination StatustoReady to Transmiton theEdit COD Informationtask.

When changes occur to an award's
COD Disbursement Amount
, Workday transmits the change to COD without changing the award's status to Ready to Transmit
.After you transmit an award to COD, Workday awaits a response from COD. Workday receives the response through the
COD Inbound
integration, and updates the COD Origination Status
of the award to Accepted
or Rejected
based on the decision.Workday only:
- Sends anticipated disbursements of an award to COD if you include the award in a COD transmission.
- Disburses awards that meet your configured eligibility conditions and have aCOD Origination StatusofAccepted.

COD requires student eligibility codes to be included in the files that the
COD Outbound
integration transmits. You can view a student’s code using the View Student Eligibility Code
task. By default, the field will be blank. You can update the code for an individual student by using the Update Student Eligibility Code
task, or for multiple students using the Import Student Eligibility Codes

You can use these Workday-delivered reports for greater visibility into the COD origination and disbursement processes. You can also use them to troubleshoot issues such as rejections by COD.

| View information you transmitted to COD based on award year, transmission date, and other filters you select. You can also use this report to view Edit Process Result information from the COD response file and identify awards that might require changes.

COD Information on View Student Award
| View general COD information associated with an award as of the time you're viewing it. This information displays in the COD Information section when you drill down into the details of an award.COD information might display for an award that you didn't transmit to COD if you transmitted another award that shares the same award item and award year. Example: You offer a student Federal Direct Loans for the Fall and Spring academic periods and they accept the Spring award. Workday only transmits the Spring award to COD for origination. However, COD information about the Spring award might display in the details of the Fall award because they share an award item and award year. |
