Steps: Set Up Supplier Contract Connector
- Set up Workday Strategic Sourcing (WSS) and WSS user roles.You can only run this integration as a company admin.
- Verify that Workday SSO configuration is complete and accurate. See Steps: Configure Single Sign-On (SSO) for Workday Strategic Sourcing.
- Synchronize suppliers between Workday and WSS.
- Set up these security domains. You can access and run theTest Domain Permissionstask to check if the user belongs to a security domain. If not, configure these domains with the proper users who access WSS:
- Integration Eventin the Integration functional area.
- Process: Supplier Contractin the Supplier Contracts functional area.
- Self-Service: Accountin the System functional area.
- Workday Strategic Sourcingin the Procurement functional area.
- Set up these business process and security policies:
- Supplier Contract Event
- Supplier Contract Amendment Event
When you create or revise supplier contracts in WSS, the associated contracts in Workday update during the next integration run.
Contracts only update in Workday when the supplier contract in WSS:
- Is active.
- Has a financial company or company hierarchy, Workday contract type, supplier, requester, and sourcing owner.
- In Workday, Access theActivate Account Provisioningtask.SelectStrategic Sourcingas anSSO Serviceand check that theEnvironmentcolumn populates with the correct tenant environment, whether it's in an Implementation, Production, or Sandbox environment.Configure only 1 entry on the Strategic Sourcing grid. Disable incorrect entries, if there are multiple rows in the grid.Security:Set Up: Account Provisioning Applicationsin the System functional area.
- In Strategic Sourcing, access theUser Profilefor the company you want to enable the integration for.
- SelectGenerate Tokenfrom thePersonal API Tokensection.
- Copy theAPI TokenandUser Token.
- In Strategic Sourcing, enable these feature flags:Feature FlagFunctionscontractsEnables the contracts module.contracts_workday_connectorEnables the contract synchronization between both WSS and Workday, and enables companies and company hierarchies. Check in these fields for each contract type.contract_multi_currencyEnables the ability to select a currency per contract.Contract_revisionsAdds theReviseoption to active contracts and enables you to make revisions in WSS to active contracts that sync to Workday.record_notificationsDisplays any errors encountered when importing the WSS contract through the integration.
- Access theView Integration Templatereport.Select theWorkday Strategic Sourcing Contract Integrationtemplate.
- From the related actions menu of theWorkday Strategic Sourcing Contract Integrationtemplate that you just created, create an integration system for 1 or more services.Workday recommends that you create 2 integration systems for 2 services to:
- Send all eligible contract types into WSS.
- Pull all the new active contracts and amendments into Workday.
- Access theCreate Integration Systemtask.Workday recommends that you selectYesfor both theAuto Complete ContractandSubmit Contractintegration attributes.This configuration ensures that WSS creates supplier contracts inapprovedstatus.Security:Integration Builddomain in the Integration functional area.
You can take action on your supplier contracts once you sync them with Workday, like adding lines, creating purchase orders, supplier invoices, and receipts in Workday. The spend transaction amounts that you maintain in Workday are then visible on the WSS contract. You can factor those amounts into your next contract renewal or extension in WSS.
