Set Up Extended Indexed Data Sources
- Create theCustom Data Source Extension Approval Eventbusiness process and security policy in the System functional area.
- Security:Manage: Custom Data Sourcesdomain in the System functional area.
You can set up an extended indexed data source that includes fields suitable for indexing. You can add a maximum of 20 indexed fields to a data source.
- Access theMaintain Custom Data Sourcereport and clickCreate Data Source Extension.
- Select theData Sourcethat you want to add fields to. Example: You can add fields to theJob Applicationsdata source.
- (Optional) Review theData Source FiltersandDelivered Indexed Fieldstabs.
- As you complete theAdditional Fieldstab, consider:
Option Description Source FieldYou can add fields suitable for indexing for these field types:- Calculated fields from your tenant.
- Custom fields from your tenant.
- Delivered fields from the primary business object for the data source.
To check if a field is suitable for indexing, use theField Suitability for Business Objecttask or from the related actions menu for a field, selectIndexing Information.UsagesDisplays usage for theSource Fieldin your tenant. - On theMaintain Custom Data Sourcereport, clickSubmit for Approvalto submit the draft data source for security approval.
Workday sends an approval request to the data source approver in
My Tasks
. The approver can review security and approve or deny the data source.On the
Maintain Custom Data Source
report, you can click Publish
to schedule publishing of an approved, unpublished extended custom data source. You can also:
- ClickCreate New Versionto update fields for a published extended custom data source.
- ClickViewnext to a data source and navigate to theStatustab to view publishing history and indexing processing time. From theStatustab, you can select theFields Executedlink to view details about the fields evaluated during the indexing process. TheFields Executedview displays:
- Field: The specific field evaluated. This includes fields added for the process on theAdditional Fieldstab and other fields that may display, such as those included in calculated fields or those that determine if an object is included in the index.
- Number of Times Executed: The total number of times the field was evaluated during the indexing job.
- Total Time: The total time spent executing the field throughout the process.
- Time Stamp: The specific date and time the field execution was recorded.
