Setup Considerations: Global Payroll Hub for Workday Payroll

Use this topic to plan how to enable the Global Payroll Hub for Workday Payroll. It helps you understand prerequisites, configuration decisions, and impacts before you turn the feature on in your tenant.

What It Is

The Global Payroll Hub is a centralized workspace for payroll administrators to monitor and manage payroll processing for Workday Payroll. It unifies high-level monitoring on the Overview page, operational status tracking on the Payroll Processing Summary page, and recommended Tasks and Reports you access as you prepare and finalize payroll.

Business Benefits

The Global Payroll Hub helps you standardize and streamline payroll operations across pay groups. By enabling the hub, you give payroll administrators a single place to:
  • Monitor upcoming checklist items and anomalies before each pay run.
  • Track processing status and totals across pay groups.
  • Run recommended tasks and reports at the right point in the payroll cycle.
This centralization can reduce missed steps, improve compliance tracking, and give you consistent visibility into payroll progress.

Use Cases

Typical use cases for the Global Payroll Hub include:
  • A payroll administrator who wants a single place to see which pay groups are ready to process and which have outstanding checklist items.
  • Access the
    Details
    page to review counts and totals for a specific pay group and period.
  • A payroll operations manager who wants to standardize pre‑payroll checks and post‑payroll validation by using the Tasks and Reports recommendations.

How do you manage payroll processing checklists?
Use the
Maintain Global Payroll Processing Checklist Template
task to create checklist templates that list the key tasks and reports to complete for each payroll run. In the template, indicate due dates, instructions, external URLs, and assignees for each item. After you create a template for a pay group detail, use the
Summary
section of the
Payroll Processing
page to create a checklist for a specific pay group, run category, and period.
What information do you want to validate when running payroll in Workday?
Use the
Global Payroll Hub
to access real-time operational insights for your payrolls processed in Workday. View cards and grids with information on pay anomalies, outstanding checklist items, payroll compliance updates, employee changes, payroll result counts by status, payroll totals, net payroll payment details, and ledger account totals.

Access the
Workday Payroll
tab on the
Tasks and Reports
page. This tab includes 3 sections:
Payroll Preparation, Payroll Processing
, and
Post Payroll Processing.
Each section lists recommended Workday Payroll tasks and reports to consider as you process payroll in Workday.

Requirements

To use the Overview page in the Global Payroll Hub:
  • Ensure security administrators grant the
    Manage: Global Payroll Processing
    domain with at least View access in the
    Core Payroll
    functional area.
  • Configure at least one payroll processing checklist template and create a checklist for a period from the template so that upcoming checklist items can appear on the Overview page.
  • For customers using regulatory or compliance content, review the Payroll Compliance Updates card for relevant information.
    For managed payroll checklists:
    Use
    Maintain Payroll Processing Checklist
    Templates to create templates and associate them with the appropriate pay group detail or pay run group.
    For Workday Payroll pay groups, ensure the template is tied to
    Pay Group Detail Eligibility.
    Organize related tasks into
    Item Groups
    in the checklist template so they appear together in the managed checklist.
    Define
    due date calculations
    in the template (for example, 3 days before period end). Workday uses these settings to calculate and display the actual due date in the checklist Due At column.
    Confirm that pay calculation processing is enabled and that administrators have access to the relevant reports so that drill-downs from the Summary and Detail pages (for example, to
    Pay Calculation Processing
    ) work as expected.

Limitations

  1. Checklist template changes do not update checklists created prior to the template changes. Updates are only reflected in checklists created after the template changes are saved.
  2. Maximum number of assignees for an item is 5.
  3. Items in a checklist cannot be assigned at a security group or role level, only worker or person level.
  4. Checklist audit trails are not available
  5. Checklists cannot be locked from edits
  6. Notifications are not supported
  7. Action column on Summary page is used by External Payroll Pay Groups and not Workday Payroll Pay Groups

Tasks and Reports

To use the Tasks and Reports page for Workday Payroll:
  • Grant administrators access to the
    Workday Payroll
    tab in the Tasks and Reports area of the hub. This tab surfaces non‑configurable, Workday‑delivered cards for different phases of payroll processing.
  • Verify that administrators have security access to each recommended task and report. If a user lacks access, the card can appear but the underlying task or report may not be actionable.
  • Communicate to payroll teams that they should use the Tasks and Reports page during payroll processing to launch the recommended tasks and reports before and after processing payroll.
Payroll Preparation cards
  • Use the Payroll Preparation cards to run the recommended tasks and reports before you start payroll processing. These typically include data validation and readiness checks.
Payroll Processing cards
  • Use the Payroll Processing cards to run the recommended tasks and reports as you are processing payroll such as the
    Run Pay Calculation
    task.
Post Payroll cards
  • Use the Post Payroll cards to run the recommended tasks and reports after you complete payroll processing. These typically include reconciliation and results validation.

Tenant Setup

There are no tenant-wide switches or instance-level configuration options specific to enabling the Global Payroll Hub beyond standard Workday Payroll enablement and security configuration.

Security

From the Core Functional area, enable and configure these security domain policies:
  • Manage: Global Payroll Processing
    – provides access to the Global Payroll Hub.
  • Set Up: Global Payroll Processing Checklist
    – provides access to create and manage checklist templates.

Reporting

The Global Payroll Hub surfaces existing payroll reports such as Pay Anomaly and Pay Calculation Processing through cards and drill‑downs. You don’t need to configure separate reporting objects for the hub, but you must grant security to the underlying reports so that drill‑downs work as expected.

Integrations
