Steps: Set Up Suggested Translations for Journeys

Security:
  • Set Up: Tenant Setup - Global
    domain in the System functional area.
  • Set Up: Journey Administration
    domain in the People Experience functional area.
  • Manage: Journey Builders
    domain in the People Experience functional area.
  • Manage: Journey Preview
    domain to verify translations in the journeys workspace.
Suggested Translations leverage the Machine Translations framework to provide automatic translations for content in the journeys editor. This feature streamlines the localization process and reduces the manual effort required to translate individual strings for a global workforce.
  1. (Optional) Create a user based security group to identify the individuals responsible for reviewing and approving translation notifications.
    Example:
    • Suggested Translations Approvers -Italian
  2. Access the
    Create Security Group
    task to create a translation language segment.
    This ensures users only receive notification for the specific languages they are authorized to approve.
  3. As you complete the task, consider:
    Field
    Description
    Type of Tenanted Security Group
    Select Segment-based security group.
    Name
    Enter a name that includes the name of the segment you created earlier.
    Example:
    Suggested Translations Approvers- Italian
    segment to differentiate it from other groups.
    Security Groups
    Select the security group you just created.
    Access to Segments
    • Navigate to
      Security Segment (Workday Owned)> Machine Translations Language Segment.
    • Select the languages you want this segmented group to view.
    You can create a super group to receive notifications for all the languages or create specific segmented groups for approvers of individual languages.
  4. Configure the
    Machine Translation Event Business Process Definition
    .
    1. Navigate to the
      Machine Translation Event Business Process Definition
      .
    2. Access Related Actions > Edit Business Process Definition
      .
    3. Add the review step if it isn't already present. You only need 1 review step.
    4. Add each new translation segment to the
      Group
      field.
      As you complete the task, consider:

      Review Machine Translations
      Groups
      Select the segmented security group you created earlier. Example:
      Suggested Translations Approvers- Italian
      segment.
    5. Select
      OK

  5. Select
    Business Process Policy
    to control some functionality on the review notification through this policy.
  6. Add the segment based security group you created to the
    Who Can Do Actions on Entire Business Process
    section of the business process security policy.
  7. Add security groups to
    Approve
    or
    Deny
    in the
    Who Can Do Actions on Entire Business Process
    section.
  8. Configure Language for Automatic Translations.
    1. Navigate to
      Edit Tenant Setup - Global
      .
    2. Enable the
      Enable Machine Translations
      toggle to activate the entire framework in the
      Languages
      section.
    3. Enable the corresponding toggles for each Workday-delivered languages you want to support.
    4. Navigate to
      Edit Tenant Setup - Journeys
      after enabling suggested translations for your desired languages.
    5. Select all the languages you want to automatically translate.
      The language list depends on your selections in the
      Edit Tenant Setup - Global
      You don't have to enable all the languages for automatic translations. When you enable a language, it generates its own notification.
Reviewers with security access to automatic translations can:
  • Review the translations when they get notified in
    My Tasks
    .
  • Modify the translations in the
    My Tasks
    before approving them.
