Concept: Track Document Signatures
You can use business process history records to track the status of the document review step. For example, when you click on a process in the
Process Status
worklet, Workday displays the status of all events in the business process, including the Review Documents
step, in the Process History
section on the Process
tab.When the status of the
Review Documents
step is Complete
, select from the related actions menu of the event. Click the Documents
tab to view the signature, signature type, signature statement, and signature date for every document reviewed as part of the business process. Signed documents may not be visible to certain users in the Documents
tab if they meet the exclusion criteria of an intersection security group. Example: As a security administrator, you use a role-based security group to restrict access to compensation data among HR Partners and exclude users from the HR Partners security group. You can also view a snapshot of the document at the time that it was reviewed and signed.Workday appends "_uploaded" to the document name of all uploaded documents.
In addition, if a worker-related event is completed along with the
Review Documents
step, the event automatically updates the worker document file with the signature, signature type, signature statement, and signature date for every document reviewed as part of the business process.To view the worker document file for a selected worker, run the
Maintain Worker Documents
report.
